Job Summary
Form and maintain accurate employee records and HR documentation while managing recruitment and work pass processes in compliance with Singapore's legal and company policies. Serve as the primary HR contact to support employee inquiries and administrative operations.
Responsibilities
- Maintain and update employee records to ensure accuracy and compliance with company policies and legal requirements
- Prepare and amend HR documents including employment contracts and recruitment guides to reflect current policies
- Review and renew company policies to ensure ongoing legal compliance and alignment with organizational standards
- Serve as the first point of contact for employees, providing timely and clear responses to HR-related queries
- Support payroll processing by supplying accurate employee attendance data, including holiday and sick leave records
- Manage end-to-end recruitment processes including posting job advertisements, conducting phone screenings, coordinating interviews, and preparing employment contracts in accordance with local regulations and company procedures
- Oversee work pass applications (WP/SPass/EP), monitor their status, and track expiry dates to ensure timely renewals
- Prepare confirmation letters and monitor contract expiry dates to facilitate contract renewals
- Administer office compliance with established policies and Singapore's legal, fiscal, and statutory requirements
- Manage procurement and maintenance of office furnishings, equipment, and supplies
- Provide administrative support for telephone, communication, and computing systems to ensure operational efficiency
- Demonstrate initiative and problem-solving skills to complete assigned tasks independently and proactively under tight schedules
- Foster positive interactions with staff at all levels through effective interpersonal communication
Preferred competencies and qualifications
- Degree or Diploma in Human Resources
- 2-4 years of experience in a similar HR role
- Proven experience in recruitment processes
- Familiarity with the Employment Act
- Availability for immediate or short-notice employment is an advantage
