Job Description

1. Administrative Operations

. Oversee daily office operations and general administrative functions

. Manage and maintain company records, documents, and filing systems

. Ensure effective coordination between management, factory, and retail outlets

2. Staff & HR Administration

. Manage staff attendance, leave records, and work schedules

. Prepare employment contracts and related staff documentation

. Assist in recruitment, onboarding, and orientation of new employees

. Handle day-to-day HR matters and internal staff communication

3. Financial & Basic Accounting Support

. Compile daily sales reports from retail outlets

. Prepare basic management reports and summaries

. Liaise with accountants on payroll, CPF submissions, and financial documentation

4. Licensing & Compliance

. Manage and renew company licenses and permits

. Coordinate compliance documentation with relevant government authorities

. Support certification processes including Halal certification and HACCP documentation

5. Inventory & Procurement Support

. Monitor inventory levels of office and operational supplies

. Coordinate procurement activities and communicate with suppliers

. Maintain supplier records and manage purchase invoices

6. Outlet Coordination

. Monitor daily sales performance across outlets

. Coordinate operational and staffing issues between outlets and management

. Assist in staff scheduling and daily operational planning

7. Reporting & Management Support

. Prepare weekly and monthly management reports

. Provide administrative support to directors in planning and coordination
