We are seeking a proactive and detail-oriented HR & Admin Executive to support our growing team.

What You Will Do at Quant Matter

1. Human Resources:

Recruitment & Onboarding:

  • Post job openings on relevant job boards and social media platforms.
  • Screen resumes, schedule interviews, and coordinate with hiring managers to support the interview process.
  • Assist with onboarding new employees, ensuring a smooth integration into the company.
  • Facilitate account setups, employee badges, and access to necessary systems.

Employee Relations & Support:

  • Serve as the first point of contact for employee inquiries related to HR policies, benefits, and payroll.
  • Assist with the coordination of visa applications, renewals, and compliance with immigration requirements.
  • Maintain and update employee records, ensuring confidentiality and accuracy.

2. Administrative Support:

Corporate Secretary Duties:

  • Assist the corporate secretary in preparing documents, collecting signatures, and ensuring compliance with governance protocols.
  • Maintain company records, including meeting minutes, compliance files, and regulatory submissions.

3. Documentation & Office Management:

  • Organize, manage, and archive files and documents, both digital and physical.
  • Support office operations by managing inventory of office supplies and ensuring a well-organized workspace.
  • Facilitate the account opening process such as facial recognition, Telegram etc for new employees, ensuring all necessary documentation is completed and submitted, coordinating with HR as needed.

4. Travel Management:

  • Coordinate and arrange travel logistics for the CEO and other team members, including booking flights, accommodations, and transportation.

Our Ideal Candidates Would Have:

  • Diploma in Business Administration, Human Resources, or related field.
  • Bilingual in English and Chinese is required.
  • Minimum of 2 years of HR and payroll experience.
  • Strong organizational and time-management skills.
  • Proficient in MS Office (Word, Excel, PowerPoint).
