Job Summary
The HR & Admin Executive will provide administrative and operational support for project manpower, crewing coordination, compliance documentation, and office administration to ensure smooth day-to-day project operations.
Responsibilities
Human Resource Administration
- Maintain and update manpower trackers, attendance, and deployment records to ensure accurate project staffing information
- Support preparation and submission of HR documentation for project staff and crew to maintain compliance and record accuracy
- Coordinate onboarding and offboarding documentation to facilitate smooth employee transitions
- Assist in administering performance evaluations to support employee development processes
- Support employee welfare coordination and address general employee matters to promote a positive work environment
- Support review and updating of HR policies, SOPs and process documentation
- Assist in maintaining documentation for compliance and audit purposes
Crewing Coordination
- Coordinate crew mobilization and demobilization arrangements to ensure timely and efficient crew deployment
- Maintain crew lists and deployment trackers to monitor crew assignments and availability
- Arrange travel, accommodation, and logistics for crew movements to support operational readiness
- Support preparation and submission of sign-on and sign-off documentation and reports to comply with regulatory and project requirements
Work Pass & Government Liaison
- Administer Work Pass applications, renewals, and cancellations (WP / SPass / EP) to ensure legal compliance for project personnel
- Monitor work pass validity and regulatory timelines to prevent lapses and maintain workforce legality
- Liaise with Ministry of Manpower (MOM) and relevant authorities to facilitate timely approvals and compliance
- Coordinate medical examinations, insurance enrollment, and statutory submissions to meet regulatory and company standards
Safety & Compliance Documentation
- Assist in preparing and maintaining safety and compliance documentation to support project safety management
- Support upkeep of training and certification records to track compliance with safety and operational requirements
Administrative & Office Support
- Manage day-to-day office administration and maintenance to ensure a functional and safe work environment
- Coordinate office supplies, facilities, and equipment matters to support operational efficiency
- Assist in maintaining office safety and administrative procedures to comply with company policies
- Support expense tracking and general administrative documentation to facilitate accurate financial reporting
Operations & Client Coordination
- Support operational and manpower documentation to assist project execution and reporting
- Liaise with clients on administrative and documentation submissions to maintain clear communication and compliance
- Coordinate with vendors and service providers on administrative matters to ensure smooth service delivery
