Job Description

Job Summary

Support HR administration, personal assistant duties, and office operations to enhance organizational efficiency and communication. Manage employee records, assist recruitment, coordinate training, and provide confidential executive support.

Responsibilities

  • Maintain and update employee files, contracts, and HR documentation to ensure compliance with company policies and regulations.
  • Assist in recruitment by posting job openings, screening resumes, scheduling interviews, and managing onboarding and offboarding processes.
  • Support payroll processing by preparing and verifying employee attendance and leave records accurately.
  • Ensure staff adherence to HR policies and procedures and respond to basic HR queries promptly.
  • Organize and track employee training programs and professional development initiatives to support workforce growth.
  • Consolidate and prepare monthly HR reports for management review.
  • Prepare agendas, minutes, and follow-up actions for monthly meetings to facilitate effective communication.
  • Handle sensitive information with confidentiality and discretion in all executive support tasks.
  • Provide direct support to management or CEO, including schedule management, reminders, travel arrangements, and follow-ups.
  • Act as a liaison between management and staff to ensure effective communication and timely updates.
  • Maintain office supplies and coordinate office operations to ensure smooth functioning.
  • Coordinate and manage internal and external events or meetings efficiently.
  • Prepare reports, presentations, and documentation as required to support various departments.
  • Serve as a liaison between departments and external stakeholders to facilitate collaboration.
  • Perform additional tasks assigned by Executive Directors to support organizational needs.

Preferred competencies and qualifications

  • Diploma or degree in Human Resources, Business Administration, or a related field.
  • Proven experience in HR administration and personal/executive assistant roles.
  • At least 1 year of relevant experience.
