Job Summary
Support HR administration, personal assistant duties, and office operations to enhance organizational efficiency and communication. Manage employee records, assist recruitment, coordinate training, and provide confidential executive support.
Responsibilities
- Maintain and update employee files, contracts, and HR documentation to ensure compliance with company policies and regulations.
- Assist in recruitment by posting job openings, screening resumes, scheduling interviews, and managing onboarding and offboarding processes.
- Support payroll processing by preparing and verifying employee attendance and leave records accurately.
- Ensure staff adherence to HR policies and procedures and respond to basic HR queries promptly.
- Organize and track employee training programs and professional development initiatives to support workforce growth.
- Consolidate and prepare monthly HR reports for management review.
- Prepare agendas, minutes, and follow-up actions for monthly meetings to facilitate effective communication.
- Handle sensitive information with confidentiality and discretion in all executive support tasks.
- Provide direct support to management or CEO, including schedule management, reminders, travel arrangements, and follow-ups.
- Act as a liaison between management and staff to ensure effective communication and timely updates.
- Maintain office supplies and coordinate office operations to ensure smooth functioning.
- Coordinate and manage internal and external events or meetings efficiently.
- Prepare reports, presentations, and documentation as required to support various departments.
- Serve as a liaison between departments and external stakeholders to facilitate collaboration.
- Perform additional tasks assigned by Executive Directors to support organizational needs.
Preferred competencies and qualifications
- Diploma or degree in Human Resources, Business Administration, or a related field.
- Proven experience in HR administration and personal/executive assistant roles.
- At least 1 year of relevant experience.
