Job Description

Established in 2019, Gaia Lifestyle Holdings Pte. Ltd. is a Food and Beverage (F&B) and Shared Services Company managing F&B Operations as well as providing support services to a rapidly growing Group of Companies in multiple industries comprising concert/live shows management and promotions, F&B, hospitality, and real estate management. Gaia Lifestyle Holdings Pte. Ltd. regularly measures and improves process quality, examines, and applies best industry practices, identifies new and advanced technological implementations as well as trains and develops our employees to keep them relevant.

The Senior Procurement Executive assists in vendor management, purchase order processing, and contract management. This person also supports RFQ/ tender processes and inventory management, and utilise procurement systems (e.g. Oracle NetSuite) for data analysis and administrative tasks. The ideal candidate is detail-oriented with strong organisational skills.

Job Responsibilities

  • Vendor Management: Assist in building and maintaining strong relationships with suppliers, negotiating favorable terms, and monitoring supplier performance
  • Purchase Order Processing: Create and process purchase orders accurately and timely, ensuring compliance with procurement policies and procedures
  • Contract Management: Support the contract management process, including contract renewals, amendments, and vendor performance reviews
  • RFQ/Tender Support: Assist in the preparation and evaluation of RFQs/tenders, ensuring compliance with procurement guidelines
  • Inventory Management: Collaborate with departments to maintain optimal inventory levels and minimise stockouts
  • System Management: Utilize the E-procurement systems (Oracle NetSuite) to track purchase orders, invoices, and other procurement data
  • Data Analysis: Analyze procurement data to identify cost-saving opportunities and improve efficiency
  • Administrative Tasks: Handle administrative tasks such as filing, record-keeping, and report generation
  • Audit: Ensure adherence to all Procurement SOPs. Maintain compliance with internal process, hygiene, Halal, and sustainability annual audits. Ensure all necessary certifications are in place

Requirements

  • Minimum 1 year of relevant experience in the hotel industry
  • Candidate must possess at least Diploma or equivalent
  • Proficient in English, ability to converse to liaise with Mandarin-speaking associates will be an advantage
  • Strong knowledge in both food and non-food categories and suppliers
  • Strong working knowledge on Negotiation and Procurement Policies
  • Proficiency in Microsoft Office Suite and experience with procurement software or ERP systems
  • Ability to multitask and prioritize tasks in a fast-paced environment
  • Positive mindset with good attitude and integrity
  • Good Communication skills with all levels of colleagues and suppliers with confidence to achieve the best deal for the hotels
  • Good presentation and data analytical skills
