Project Coordination

  • Prepare and maintain clear job instructions covering installation, packing, transport, and storage requirements.
  • Coordinate with operations, warehouse teams, and crew leaders to plan manpower, equipment, and resources.
  • Develop and manage job schedules, risk assessments, and method statements in line with operational standards.
  • Ensure artworks are handled, transported, and installed in compliance with Crown Fine Art handling and safety standards.

Client Communication & Service Delivery

  • Act as a primary point of contact for clients, including museums, galleries, institutions, and private collectors.
  • Provide timely and professional updates before, during, and after job execution.
  • Support the preparation of quotations, service proposals, and respond to billing‐related queries in coordination with internal teams.Site & Job Support
  • Attend onsite installations, de-installations, and client events when operationally required.
  • Complete accurate condition reports, including written observations and photographic records.
  • Observe onsite activities to support quality outcomes and alignment with client expectations.

Documentation & Systems Management

  • Prepare and maintain job files, shipping documentation, job sheets, and completion reports.
  • Update relevant systems and trackers, including Crown Interact, SharePoint, CRM platforms (e.g., Salesforce), where applicable.
  • Support the management of insurance documentation and required client paperwork.

Operations & Quality Control

  • Coordinate specialist packing, crate construction, and storage requirements in collaboration with operations teams.
  • Support warehouse activities related to receiving, labelling, and storing artworks.
  • Assist with monitoring scheduled use of temperature-controlled vehicles and routing plans to support artwork safety.

Required Skills & Qualifications

Experience

  • 3 years of experience in art logistics, gallery or museum operations, project coordination, or a related field.
  • Exposure to installation planning, art handling, or logistics coordination is an advantage.

Technical & Professional Skills

  • Strong organisational, coordination, and scheduling skills.
  • Working knowledge of art handling, packing, or installation processes (training can be provided).
  • Proficiency in Microsoft Office applications; experience with SharePoint and CRM platforms is beneficial.
  • Ability to interpret floor plans, installation drawings, or technical diagrams is an advantage.

Interpersonal & Work Style Skills

  • Clear and professional communication skills, with a client-focused approach.
  • High attention to detail and effective time management.
  • Ability to remain composed and solution-oriented in a dynamic environment.
  • Collaborative team player with a proactive, hands-on mindset.

Work Environment & Availability

  • Able to provide occasional onsite support as part of project requirements (reasonable adjustments can be discussed).
  • Willingness to work flexible hours, including early mornings, evenings, or weekends, when site needs arise.

Language Skills

  • Proficient in English (written and spoken) to support documentation, client communication, and operational coordination.
  • Additional language skills are an advantage, particularly for supporting clients, artists, or vendors in international contexts.
