Job Description

Key Responsibilities

Office Administration:

  • Manage daily office operations, handling correspondence, phones, maintaining office supplies.
  • Acts as the First Point of Contact for the Office, welcome visitors and accept deliveries accordingly.
  • Coordinate and schedule meetings, appointments, and travel arrangements for responsible teams.
  • Maintain and update company records, databases, filing systems, business cards etc., assist with onboarding etc.
  • Handling Office equipment maintenance and troubleshooting
  • Assist in the preparation of reports, presentations, and documentation.
  • Ensure a clean, organized, and professional office environment.
  • Liaise with vendors, service providers, and building management.
  • Organizing office events or team-building activities
  • Other ad hoc duties as assigned

Finance

  • Manage accounts receivable processes including receipt processing and customer follow-ups on outstanding payments.
  • Handle accounts payable functions such as invoice and payment processing and resolve invoice discrepancies with vendors.
  • Prepare and post monthly journal entries (e.g., prepayments, accruals).
  • Assist with month-end closing activities.
  • Prepare monthly balance sheet schedules and bank reconciliations.
  • Ensure timely preparation of GST filings.
  • Support internal and external audits, as well as annual budgeting and forecasting processes.
  • Contribute to finance-related initiatives to support business growth.
