Job Description

What this job involves:

As a Facilities Coordinator at JLL, you'll be at the heart of creating exceptional workplace experiences for our clients and their employees. This role puts you on the front lines of day-to-day facility operations, where you'll coordinate maintenance activities, manage vendor relationships, and ensure spaces function seamlessly. You'll serve as a key point of contact for facility-related requests and concerns, translating needs into action while maintaining the highest standards of service delivery. What your day-to-day will look like:

  • Coordinate and track work orders for maintenance, repairs, and facility improvements, ensuring timely resolution and quality outcomes
  • Serve as a primary liaison between building occupants, vendors, contractors, and property management teams to address facility needs and concerns
  • Conduct regular facility inspections to identify maintenance issues, safety hazards, and opportunities for operational improvements
  • Maintain accurate records and documentation of facility activities, vendor contracts, preventive maintenance schedules, and compliance requirements
  • Support space planning and move coordination activities, including furniture installation, office reconfigurations, and workspace optimizations
  • Monitor building systems and equipment performance, escalating issues appropriately and coordinating with specialized technicians when needed
  • Assist with budget tracking and invoice processing for facility-related expenses, ensuring accuracy and proper cost allocation
  • Respond to emergency situations following established protocols, coordinating appropriate resources and communicating with stakeholders
  • Participate in sustainability initiatives and contribute ideas for enhancing operational efficiency and occupant satisfaction

Required qualifications:

  • High school diploma or equivalent; Associate's degree in facilities management, business administration, or related field preferred
  • 2+ years of experience in facilities coordination, property management, office administration, or related customer service role
  • Strong organizational skills with demonstrated ability to manage multiple tasks and priorities simultaneously
  • Excellent communication skills, both written and verbal, with ability to interact professionally with diverse stakeholders
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and ability to learn facility management software systems
  • Basic understanding of building systems, maintenance operations, and workplace safety principles
  • Problem-solving mindset with ability to think critically and respond effectively to unexpected situations
  • Flexibility to occasionally work outside standard business hours for emergency response or special projects

Preferred qualifications:

  • Bachelor's degree in facilities management, engineering, business, or related discipline
  • Experience with computerized maintenance management systems (CMMS) or integrated workplace management systems (IWMS)
  • Knowledge of building codes, OSHA regulations, and environmental health and safety standards
  • Previous experience in corporate facilities, commercial real estate, or property management environments
  • Certification such as Facilities Management Professional (FMP) or equivalent industry credential
  • Demonstrated commitment to sustainability practices and energy efficiency initiatives
