Description

  • Maintain strong rapport with tenants ensuring that they have good support to fulfil their retail needs.
  • Responsible for running the mall operations in managing the daily operations, maintenance, upkeep of the mall and tenancy relationship and communication with the retailers.
  • Conduct daily Mall common area pre-opening checks.
  • Management of service contractors to effectively achieve the highest standard.
  • Assist in coordinating, and conducting inspections with service providers on routine work, outstanding defects and rectification works.
  • Ensuring the building services and common facilities are kept in excellent condition.
  • Prepare technical specifications and call for quotation/tenders for Tenancy/Building/M&E related works.
  • Complete approved Capex works assigned within the financial year and to ensure expenditures are within budget allocated.
  • Conduct regular building inspections to ensure compliance to authorities requirements
  • Coordinate the procedures and fit-out of the premises leased to retailers.
  • Arrange with retailers for handing/taking over of the premises to/from retailers.
  • Coordinate all tenancy fit-out and reinstatement activities with retailers, retailers consultants/contractors, service providers and Mall Management.
  • Assist to collect as-built drawings, insurance certificates, fit-out deposits, service reports and other fees / document in relation to fit-out work, pre-opening and operations from retailers.
  • Assist to prepare annual budget, and ensure that expenses are within budget
  • Facilitate permanent electricity account opening.
  • Manage and supervise contractors work, including verifying payment, issuance of LD during non-compliance.
  • Conduct mall walks and daily spot checks on term contractors to ensure that works are carried out satisfactorily.
  • Assist in the dealings and correspondences with tenants, following up on rectification works, cleanliness, encroachment issues as well as unit's operating hours.
  • Render support on arrears matters by contacting tenants for payment and Notice of Re-entry.
  • Liaison with housekeeping, security, pest control, landscaping vendors etc. and conduct regular meeting if necessary.
  • Preparation and collation of monthly report from service vendors.
  • Assisting, coordinating and supporting other departments on daily mall operations, events and campaigns.
  • Processing permit to work, create/ close work orders, purchase order and etc.
  • Maintain building drawings, operation manuals and any records relating to the buildings as assigned
  • Ensure that all operational issues and emergencies are attended promptly and rectified with minimal inconvenience and disruption.
  • Manage and attend to all feedback and service requests in a timely manner
  • Handle and manage of tenancy works (including briefing to tenants/contractors, reviewing of fitting out submission, handover and takeover of units, monitoring of renovation works)
  • Any other duties assigned.

Requirements

  • Diploma in Building, Facilities, Estate Management or equivalent.
  • Minimum 1 years of experience in dealing with Retail Tenants.
  • Good interpersonal and communication skills to achieve excellent relationships with Team Members, tenants and service providers.
  • Possess initiative and a positive working attitude.
  • Willing to work beyond standard operating hours, when required
  • Strong verbal and written communication skills.
