We are seeking a highly organized and proactive Executive Project Administrator to support senior leadership and project teams in delivering critical initiatives. This role is ideal for someone who thrives in a fast-paced environment, enjoys coordinating across stakeholders, and takes pride in keeping projects running smoothly and efficiently.
Job Type: 1 Yr Contract under Agency Payroll
Mon to Fri Office hours
As a key support to the Project Manager and leadership team, you will:
Coordinate and schedule meetings, prepare agendas, and take detailed minutes
Prepare professional decks for meetings, sprint planning, and project reviews
Track project progress, including SIT/UAT status, and prepare test reports
Maintain project documentation, including risk, issue, and action logs
Monitor timelines and proactively flag risks or delays
Manage project budgets, expense tracking, and vendor coordination
Act as the main point of contact for stakeholders, ensuring timely updates
Maintain organized filing systems and project databases
Support onboarding of new team members and documentation processes
Prepare reports and presentations using project data and metrics
Assist in improving project management processes and best practices
Minimum 3 years of experience in project administration or executive support
Strong experience in project coordination and multitasking
Mandatory : Advanced proficiency in Microsoft Office (Excel, PowerPoint, Word, Outlook)
Familiarity with project management tools (e.g., Asana, Monday.com, MS Project) at an advantage
Working knowledge of Agile or Waterfall methodologies at an advantage
Excellent communication and stakeholder management skills
Strong attention to detail with the ability to manage multiple priorities
Ability to work independently while collaborating effectively in a team
High level of professionalism and ability to handle confidential information
