As an Executive, Order Management, you will be responsible for managing end-to-end spare parts order processing and preparing accurate spare parts quotations using the SAP ERP system. This role ensures accurate order entry, quotation generation, inventory coordination, timely delivery, and customer satisfaction while maintaining data integrity and service excellence.

The position primarily supports customers within the maritime and port industry, including terminal operators, shipping/port sales agents, and spare parts resellers by ensuring responsive communication, reliable delivery performance, and effective resolution of order-related requirements.

What Are Your Key Responsibilities

  • Order Processing & Quotation Management: Prepare, issue, and convert spare parts quotations into accurate sales orders by validating customer purchase orders against pricing and contracts, and managing the entire order lifecycle, including creation, modification, tracking, confirmations, backorders, and cancellations, all within SAP.
  • Customer Management: Manage quotations and orders for customers, including terminal operators, sales agents, and spare parts resellers, by communicating quotation details, order status, and delivery timelines, and handling priority requests to minimize operational downtime.
  • Inventory & Availability Management: To ensure quotation accuracy, check stock levels and lead times using SAP, coordinate with warehouse and procurement teams for stock replenishment, and monitor and manage backorder situations, especially for critical marine equipment parts.
  • Logistics & Delivery: Coordinate urgent and international shipments to ports with logistics providers, ensuring correct documentation (delivery notes, invoices, export/shipping documents) is provided, and tracking deliveries to update SAP accordingly.
  • Billing & Documentation: Generate invoices using SAP, ensuring pricing accuracy across quotations, orders, and invoices, while maintaining proper documentation for audit and compliance purposes.
  • Data Management & Reporting: Maintain accurate customer master data, generate reports on quotations, order status, and sales performance, and support necessary audits and compliance checks.

What You Bring To The Role

  • Qualifications: Possess a Diploma or Degree in Business Administration , or a related field.
  • Experience: 2–5 years in order processing, customer service or supply chain roles; experience supporting port, marine, logistics, or industrial equipment customers is a strong advantage.
  • Technical & Digital Literacy: Strong hands-on experience and proficiency in the SAP ERP system, including the SD (Sales & Distribution) module for order processing and the MM (Materials Management) module for inventory handling, alongside proficiency in Google Workspace and Microsoft Office.
  • Functional Competencies: Possess a strong understanding of the supply chain and spare parts lifecycle, including familiarity with Incoterms, logistics, export processes, and warehouse operations, with exposure to the marine or heavy equipment industries being an advantage.
  • Professional Acumen: Demonstrate a problem-solving mindset, strong communication and coordination skills, attention to detail and accuracy, and the ability to work effectively under pressure to handle urgent and time-sensitive orders.
