Position Summary
We are seeking a highly organized and proactive Executive Assistant to support our CEO and executive team. This role is critical in ensuring smooth operations across our dual business lines (RegTech and AI Growth Engine) and managing cross-functional coordination between our Singapore headquarters and China remote development teams.
Key Responsibilities
Executive Support:
- Prepare board presentations, investor decks, and strategic documents
- Coordinate with the parents company entities
- Handle confidential business matters with discretion and professionalism
- Act as gatekeeper and first point of contact for executive communications
Business Coordination:
- Facilitate communication between Singapore management team and China remote development team
- Organize meetings, team building events, and cross-bordercollaboration sessions
- Support product launches, pilot programs, and customer onboarding initiatives
- Track key business metrics and prepare weekly/monthly reports for management
Project Management:
- Manage special projects and strategic initiatives
- Coordinate with external partners (RegTech vendors,government agencies, industry associations)
- Support business development activities (client meetings, partnership negotiations)
- Organize industry events, conferences, and networking activities
- Maintain project timelines and ensure deliverables are met
Administrative & Operations:
- Manage office operations and vendor relationships
- Coordinate with HR on recruitment, onboarding, and employee engagement
- Handle expense reports, invoices, and budget tracking
- Maintain filing systems (both digital and physical)
- Support ad-hoc administrative tasks as needed
Required Qualifications
Education & Experience:
- Bachelor's degree in Business Administration, Management, or relatedfield
- 3-5 years of experience as Executive Assistant, Personal Assistant, or similar role
- Prior experience in fintech, technology, or financial services strongly preferred
- Experience supporting C-level executives in fast-paced startup environments
Technical Skills:
- Proficient in Microsoft Office Suite (PowerPoint, Excel, Word) and Google Workspace
- Experience with project management tools (Notion, Asana, or similar)
- Familiar with video conferencing platforms (Zoom, Microsoft Teams, DingTalk/Feishu for China team)
- Strong data management and documentation skills
Language Skills:
- Excellent written and verbal English (Required)
- Mandarin proficiency is a strong plus (for China team coordination)
