Job Description

Key Responsibility Areas

  • Manage and respond to public and client enquiries related to clinical and counselling services and programmes, at the front desk, via email, and over the phone.
  • Attend to clients at the Centre and assist them with the completion of required forms.
  • Coordinate and update the scheduling of counselling sessions, including the booking of counselling rooms for staff and clients.
  • Update and maintain counselling case data accurately and securely.
  • Prepare and submit programme KPIs accurately and on time to external agencies.
  • Manage the safe-keeping, storage, and retrieval of counselling case files.
  • Assist in the procurement, requisition, and purchase of items required for clinical and counselling services and programmes.
  • Handle IT-related matters pertaining to clinical and counselling operations.
  • Manage financial and payment processes related to counselling, training, and programme services.
  • Issue official receipts and ensure proper documentation of payments received.
  • Work with the Finance Department to ensure proper handover and reconciliation of all payments.
  • Undertake any other duties as assigned by the Clinical Lead.

Requirements

  • Diploma in a relevant field.
  • 3-5 years of relevant work experience in within social service agencies or IPC charities.
  • Excellent organisational and planning abilities.
  • Strong problem-solving, critical thinking, and decision-making skills.
  • Passionate about stakeholder engagement with strong interpersonal skills.
  • Able to work both independently and collaboratively in a team environment.
  • Proficient in Microsoft Office applications, especially Excel (VLOOKUP and Pivot Tables).
