Duties & Responsibilities
- Liaise and coordinate deliveries, including signing off and filing of delivery orders.
- Reports to the Authority and ensure proper management of event site and related matters including site safety and security.
- Involve in the pre-condition and post-condition checks of the event site and support in the documentation of any defect spotted throughout the duration of the site usage.
- Work and liaise closely with Managing Agent (MA) of the Venue and promptly rectify any issues feedback by the MA.
- Coordinate and liaise with appointed contractors and event partners for all set up, tear down and activities on event site. To also manage contractor's entry into the site.
- Conduct daily inspection around the event site and provide timely update to the Authority. To also document site work updates.
- Work closely with the appointed Technical Director and Technical Manager to monitor all set up, tear down and activities that happen on the event site. Ensure all precautions are taken to safeguard the venue from any damages such as floor protection for heavy duty movement etc. Should there be any damages, to assist in preparation of incident report and identification of responsible party(ies) for liabilities.
- To inform the Authority immediately of any incidents on-site and to follow up with incident report within 24hrs of the incident.
- Provide necessary logistical & operational support during rehearsals, technical runs, actual show day and other Chingay-related fringe events or activities organized within the event site, which includes but not limited to making sure lights are on before any rehearsals, making sure all sound and lights are turned off after every rehearsal, and following up on mobile toilet servicing.
- Support the Authority to oversee the set-up and tear-down of all logistics items including tentage & gallery stand, mobile toilets, barricades at F1 Pit Building.
- Oversee cleaning contractor to ensure that all debris or waste are cleared from the site at the end of the day.
- Assist to liaise with the relevant government agencies during their inspection and/or site visits. To report to Organiser on any issues or outstanding matters immediately.
- Document all delivery orders and documents submitted by contractors and event partners and to pass to the Authority weekly.
- Assist in supervising all rectification works by the contractor and ensure the satisfactory handing over of all site matters.
- Manage the car park area behind the Pit Building (to work with the security to allow authorized vehicles to enter or park in the car park).
- Manage the hotline given to surrounding stakeholders to call for feedback on noise and lighting.
- Any other duties assigned by the Authority.
Contract Duration
- Mid Dec 2025 to End March 2026
- 3.5 Months Contract
Work Timing
- 9 hours shift daily (inclusive of 1-hour break for meals), 5-day work week depending on site activity needs.
- 1 weekend off and 1 weekday off
- Note : Once event rehearsal commence, change to both off days on weekdays
Requirements
- Preferably at least 3 years of experience in managing events/facilities.
- Work experience should include relevant responsibilities such as overseeing logistical setup and management of contractors.
- Preferably possess a Class 3/3A driving license.
- A good team player who can multi-task, work with all levels of people and thrive in a fast-paced environment.
- Independent, observant, responsible and able to perform operational tasks assigned.
- Must be prepared to work under rain and sun as well as must not mind getting hands dirty.
