Job Title: Event & Operations Executive
Contract Period: 01 October 2025 - 30 September 2026 with an option to extend from 1 Oct 26 to 30 Sep 27
Working Hours:
- Mondays to Fridays: 10:00am - 5:30pm (inclusive of 45min lunch break)
- Service not required on Saturdays, Sundays, and gazetted public holidays, except for school events that fall on Saturdays
- Attendance required for school events that may start as early as 7:00am or end as late as 10:00pm (approx. 5-9 events per year)
- Approximately 3-4 events may be held off-site at external venues
- During exam periods when exam papers are printed, start time is 9:00am (approx. 2-3 weeks in August, 3-4 weeks in Sep/Oct)
Scope of Services:
(A) Event Management
- Plan, prepare, and support school events, mainly in food catering
- Source suitable caterers/vendors and food items for ad-hoc/special school events
- Plan menus, including special arrangements for special diets/allergies
- Coordinate with school Admin Manager/Admin Executive on budgets and procurement
- Manage logistics and liaise with vendors for smooth event execution
- Assist with formal dinners/lunches held outside school, including external meetings and overseeing venue setup
(B) School Operations
- Be the main person-in-charge of the Printing Room and manage printing requests from teachers
- Work closely with Examination Committee for printing exam papers and ensure their security
- Ensure SOPs are followed for exam paper printing
- Coordinate with teachers-in-charge for printing requirements
- Train new General Office staff / Operation Support Officers (OSO) in SOPs and printing room operations
- Serve as point of contact for on-site technicians and troubleshoot printing machines
- Maintain cleanliness and tidiness of the Printing Room
- Assist at the General Office reception counter as required
- Support administrative and operational tasks, including school emergency exercises
(C) Canteen Operations
- Assist in managing Canteen Vendors and ensure adherence to HPB guidelines
- Communicate announcements to vendors in coordination with Operations Manager
- Attend termly Canteen meetings and take minutes
- Attend HPB briefings with Canteen Vendors
Skills & Experience Required:
- At least 3 years of relevant experience in:
Organizing events with multiple internal and external parties
Food catering for events
Printing and managing a Printing Room in a school setting
Handling sensitive and bulk printing under tight deadlines - Knowledge of HPB requirements for School Canteens at least 1 year supervising/managing Canteen Vendors
- At least 1 year experience (within last 2 years) in a local mainstream school providing reception services
- Strong communication and interpersonal skills
- People-oriented and able to multi-task under pressure
- Strong organizational and project management skills
- Bilingual and proficient in written and spoken
- PC literate
