Job Description

Enrichment Administrative Officer - Sports

The Enrichment Administrative Officer is the school's expert in strategic sports administration, serving as the central hub for the compliant delivery of the High School's extensive Sports Programme. This crucial non-teaching role ensures that our vision for experiential and character development through sport is efficiently realised. Responsibilities include managing complex logistics for major events, including all Sports Tours (FOBISIA, etc.), ACSIS competitions, and National School Games. The Officer maintains data integrity via SOCS, oversees finance and procurement, coordinates facilities/transport, and ensures strict safeguarding compliance for external coaches. We require an exceptionally organised candidate with a minimum Diploma qualification, attention to detail, and flexibility for occasional evening/weekend duties.

Main Responsibilities and Duties:

Sports Programme Administration

  • Assist the Heads of Sport with administration tasks for ACSIS competitions and school sporting events.

  • Communicate sports information (paid and recreational) with students, teachers, and parents through SOCS, email, and spreadsheets.

  • Maintain accurate participation records and update sports competition results.

  • Publish fixture schedules and results on SOCS.

  • Upload ACSIS results and maintain competition records.

  • Provide weekly fixture confirmation emails to sports coordinators and visiting schools.

  • Support the production of the CCA booklet and online sign-up process twice yearly.

  • Move and maintain all sports communication within the Sports area on SOCS.

  • Attend ACSIS meetings, Sports Council meetings, and relevant sports meetings as required.

Facilities, Logistics and Events

  • Manage sports facilities and venue bookings for training, fixtures, and CCAs.

  • Coordinate transport bookings and logistics for local sports activities.

  • Provide logistics support for sports-related events and Sports Day.

  • Coordinate bookings for venues, tentage, ambulances, and related event requirements.

  • Organise ambulance coverage for rugby fixtures and significant sporting events.

  • Arrange VMS/security access for visiting schools and external coaches.

  • Ensure ACSIS banners and sports materials are displayed appropriately around the ISH.

  • Assist in updating sports notice boards and printed materials.

Finance and Administration

  • Administer payment procedures for paid sports activities and ensure billing is completed in accordance with school policies.

  • Work closely with the Finance Department, Head of Sport, and Assistant Principal (Enrichment) regarding budget and resource allocation.

  • Assist with procurement of sporting materials, kit, and equipment.

  • Manage referee appointments and payment processes for ACSIS fixtures.

  • Create payment links and track payment deadlines for sports tours and activities.

Safeguarding and Compliance

  • Liaise with HR regarding contracts and background checks for external coaches.

  • Organise and maintain safeguarding and AVVANZ checks for coaches.

  • Maintain records of emergency contacts and medical lists for students.

  • Ensure parental approvals are collected where required following ACSIS fixtures.

Media and Communications

  • Collect images and media resources from sports activities for use in publications and on the website.

  • Archive sporting achievements and support the updating of honours boards.

  • Assist with gathering information for school publications and promotional materials.

National School Games

  • Advertise National School Games opportunities and manage student sign-ups.

  • Administer all entries and ensure eligibility requirements are met.

  • Communicate relevant information to parents and students.

  • Attend relevant National School Games meetings and events as the school representative.

Sports Tours

  • Support the administration and organisation of sports tours including FOBISIA, Phuket Football, and Australian tours.

  • Coordinate flights, insurance, accommodation, transport, and competition entries.

  • Track passports, deadlines, and parent communications.

  • Act as the centralised administrator for all sports tours.

Swimming Programme

  • Support administration for the Learn to Swim programme.

  • Attend swim meetings where required.

Daily Operations

  • Conduct a brief daily check-in with the Head of Sport regarding fixtures, transport, registers, communication, and operational priorities.

  • Ensure registers from morning training sessions are completed and monitored.

Collegiality

  • Work closely and collaboratively with Heads of Sport, curriculum leaders, students, parents/guardians, external vendors, and coaches.

General

  • The appointment is subject to the general conditions of service for SJII employees.

  • Professional development is an integral part of the role and participation in annual appraisal and review processes is required.

  • The role may require attendance at fixtures, events, and activities outside normal school hours.

Requirements:

  • Minimum qualification of Diploma or equivalent.

  • Excellent verbal and written communication skills.

  • Experience in administration of school trips, events, and activities.

  • Competency in Microsoft Office applications, particularly Excel and Word.

  • Strong organisational skills and attention to detail.

  • Ability to manage multiple priorities and communicate effectively with a range of stakeholders.

This is a non-teaching role. A commitment to implement an innovative, far-reaching programme is required, which progressively builds the experiential and character development of our students.
