Job Summary
Provide sales and administrative support by managing quotations, order processing, tracking, and fulfilment to ensure timely and accurate delivery of products and services.
Responsibilities
- Maintain sales and administrative workflows to process orders, prepare quotations, track shipments, and fulfil customer requests efficiently
- Complete e-invoicing into customer portals within 48 hours after goods delivery, ensuring all documents are accurate and in order
- Build and maintain relationships with existing customers by understanding their needs and responding to their queries promptly
- Manage customer orders and communicate order requirements clearly to internal teams including Supply Chain, Operations, Finance, Quality Assurance, Logistics, and Product Development
- Update customers regularly on shipment status, monitor their credit terms, and assist with payment collection to support cash flow
- Manage vendor relationships to procure products cost-effectively while maintaining quality standards
- Organize daily order processing, plan tasks, and allocate jobs to meet tight deadlines with accuracy and timeliness
- Communicate effectively with colleagues and customers using verbal and written English and/or Mandarin to ensure clear understanding and service delivery
- Use MS Word and Excel proficiently to prepare documents and reports related to sales and order management
- Work independently with motivation and proactivity to build relationships and propose solutions that improve customer satisfaction and operational efficiency
- Perform any other duties assigned to support team and company goals
