Job Description

Brief Summary

This role focuses on managing clinic operations to enhance patient experience and optimize resource utilization. The position entails overseeing financial performance, team leadership, and ensuring service excellence throughout patient interactions.

Responsibilities

  • Oversee daily clinic operations to improve patient flow, chair utilization, and reduce waiting times. Develop and manage medical rosters for doctors and nurses to ensure optimal coverage and productivity. Maintain a high standard of frontline service excellence throughout patient consults, treatments, and follow-ups, addressing escalations effectively. Ensure proper maintenance of facilities and equipment manage inventory and vendor relations, including purchasing and repairs. Implement proactive measures to minimize cancellations and no-shows through effective scheduling. Take charge of setting up new clinics as needed while driving continuous process improvements for operational efficiency and cost management. Collaborate with Treatment Coordinators and the Sales team to enhance consult-to-treatment conversion rates and manage complex patient cases. Facilitate upselling and cross-selling initiatives while tracking patient acquisition, retention, and referral metrics. Provide coaching to Treatment Coordinators and clinical staff on effective case acceptance practices. Manage partnerships with third parties, insurers, and corporate clients to bolster referrals. Maximize revenue by monitoring clinic performance metrics, including conversion rates and average revenue per patient (ARPU). Supervise the billing and collections process to ensure accuracy and timeliness of payments. Verify doctor commission calculations in accordance with company policies, ensuring accurate payouts based on performance. Manage budgets and financial performance in collaboration with leadership, while monitoring resource usage to mitigate waste. Lead the recruitment, onboarding, training, and development of clinic personnel, ensuring alignment with company performance standards. Conduct performance evaluations and coaching sessions to foster team engagement and accountability. Design staffing schedules responsive to demand and service expectations.

Requirements

  • Relevant educational qualifications, preferably in healthcare management or a related field. Minimum of 5 years of experience in clinic operations or patient management. Proven track record in financial management, including budgeting and revenue optimization. Strong leadership skills with experience in team building and performance coaching. Ability to effectively manage multiple tasks and prioritize responsibilities in a fast-paced environment. Demonstrated skills in customer service and conflict resolution. Experience in process improvement initiatives and operational efficiency strategies.
