Job Description

Associate, Corporate Secretarial supports the Manager / Assistant Director, in thedelivery of the administrative functions of the Corporate Governance department. Therole assists in the coordination of board and functional meetings, updating statutoryrecords, and supports internal and external projects.

Board secretarial support

  • Assist in preparing agendas, invitations and materials for board and AGM meetings
  • Support timely distribution and documentation of meeting materials
  • Compile and maintain company files and records (articles of incorporation,regulations, minutes, monthly reports, external stakeholders, etc.)
  • Maintain board management software
  • Prepare and coordinate logistics for board meetings, board induction, AGM and othermeetings or board events
  • Assist in regular updating of relevant authorities
  • Assist in administrative support for the Board of Directors committees whennecessary

Corporate Service secretarial support

  • Support the organisation of Corporate Service monthly meetings and annualworkplans
  • Assist in preparation of presentation materials
  • Support the application and registration of statutory changes with ACRA and otherauthorities
  • Ensure updates are made with key stakeholders and government agencies withrespect to changes in organisation details

Stakeholder Engagement

  • Maintain relationships with key external stakeholders and ensure timely updates onorganisational changes
  • Liaise with landlords, partners, and government agencies as required

Risk Management and Compliance (Enterprise Risk Management - ERM)

  • Support the preparation of risk reports and data for ERM purposes

Special projects

  • Support data collection and analysis e.g. for Environmental, Social and Governance(ESG) initiatives
  • Support preparation and follow-up for funding proposals
  • Participate in cross-functional projects as assigned

Qualification & Skills

  • Diploma in business or a related field from an accredited institution

Other Information

Relevant Experience

  • Preferably 1 year of experience working in corporate governance, secretariat, or Office Administration
  • Fresh graduates are welcome to apply

  • Digital literacy (MS office; PowerBI is a plus)
  • Strong attention to detail and organisational skills
  • Good interpersonal and communication abilities
