Reporting to the Operations Supervisor, you will play a key role in ensuring the smooth running of the Bishan Clinic. This includes managing the reception area, attending to clients, triaging screeners, and handling administrative tasks. You will also be responsible for answering calls, following up with clients due for screening, and supporting the promotion of clinic services through outreach and roadshows. Duties will be performed on a rotation basis to provide broad exposure to clinic operations, including supporting Saturday clinics and off-site screening events.
Key Responsibilities
1. Clinic Administration
- Support daily clinic operations, including triaging screeners, managing supplies, emails, and patient appointments.
- Prepare and process patient results, letters, and screening reports (daily/weekly/monthly).
- Make outbound calls to clients due for re-screening.
- Handle mail processes and assist in promotional efforts with community partners.
2. Vendor & Partner Coordination
- Liaise with laboratories, NHGD, hospitals, and suppliers to ensure smooth clinic operations.
- Manage donations received at the clinic and assist with other office-related tasks.
- Coordinate with screeners on results, follow-ups, and scheduling.
3. Call Management & Client Support
- Answer and manage clinic calls and enquiries with a focus on one-stop resolution.
- Book, update, or cancel appointments via the SCS LEAP system.
- Explain screening eligibility criteria and provide guided alternatives where required.
- Follow up promptly on client messages and queries within two working days.
- Work closely with volunteers supporting call management.
Key Requirements:
- Minimum Diploma in a related field
- Preferably familiar with health screening and eligibility criteria
- Clinic Operations Experience would be an advantage
- Good communication skills, strong interpersonal skills
- Comfortable working with people of all levels
- Willing and able to work on weekends
- Well versed in Microsoft Office software - especially MS Excel & Word
- English and a second language (ability to speak dialect will be beneficial
