Job Description

Responsibilities

  • This position is for Office of Human Resources (OHR).
  • Support SMU Faculty, Admin and Research staff in onboarding and offboarding matters:
    • Work with TA (Talent Acquisition) to prepare start work arrangements, background screening, health screening and staff pass printing.
    • Assist faculty/ staff/ researchers on HR policy queries.
    • Assist foreign faculty with global mobility matters, such as relocation queries as well as residency conversion queries of existing faculty.
    • Handle work pass and related pass application, issuance, renewal and cancellation as well as tax clearance matters.
    • Maintenance of Personal File and ensure all documents are filed and updated.
    • Manage transfer of faculty/admin and research staff (including temp and contract) to ensure employee records are keyed into SuccessFactors.
    • Answer employee queries and manage the service desk.
    • Process payment for faculty and staff such as Adjunct payment, one-time payment and recurring payment.
    • Manage off-boarding, renewal and transfer cases.
    • Assist staff with employment certification letters and any other duties assigned.
  • Support HR & T&OD (Talent & Organisational Development) team on pre-events logistics and catering:
    • Manage venue requirements and facilities bookings for T&OD programmes and HR workshops.
    • Creates registration form, eDMs in Junglemail as well as calendar invites.
    • Consolidate meal requirements and handles catering, quotations and order details.
    • Event day support as well as POJ/PO creation and invoice processing.
    • Support OHR in teambuilding/bonding events and any other duties assigned.
Qualifications

  • Degree with at least 4 to 6 years of relevant experience in HR.
  • Familiar with Microsoft Office apps and preferably SuccessFactors.
  • Prior work experience as a HR generalist managing full life cycle of staff such as onboarding & offboarding.
  • Experience in coordinating events and event logistics would be advantageous.
  • Collaborate well with internal and external stakeholders and able to handle confidential information with high integrity and discretion.
  • Strong writing and critical thinking skills as well as excellent interpersonal skills.

Candidates who do not possess the stipulated qualifications but have relevant work experience may still apply. Remuneration and appointment terms shall commensurate with qualifications and experience. SMU reserves the right to modify the appointment terms where necessary.
