Role Description:

The Assistant Project Manager supports the planning, execution, and monitoring of projects within the organization. This role involves coordinating project activities, tracking timelines, managing resources, and ensuring that all project deliverables meet the required quality standards. The Assistant Project Manager works closely with senior project managers and team members to ensure projects are completed on time, within scope, and within budget.

Key responsibilities include assisting with project planning and scheduling, creating and maintaining project documentation, organizing meetings, tracking progress, handling communications with stakeholders, and identifying and addressing any issues that may arise. This position is ideal for individuals seeking to build a career in project management, offering exposure to a variety of projects and industries while developing key project management skills.

Qualifications:

  • Project Coordination: Experience supporting project planning and execution, including coordinating tasks, schedules, and resources. Ability to assist in tracking project milestones and ensuring project deadlines are met.
  • Time Management & Organization: Strong organizational skills, with the ability to manage multiple tasks, prioritize effectively, and maintain clear records of project activities and timelines. Comfort in working under tight deadlines and juggling various tasks at once.
  • Communication Skills: Excellent verbal and written communication skills to interact with team members, stakeholders, and clients. Ability to clearly communicate project status, identify issues, and share progress updates.
  • Problem-Solving & Critical Thinking: Ability to identify potential risks or bottlenecks early in the project lifecycle and assist in developing solutions to mitigate them. Strong analytical skills to resolve project-related issues.
  • Documentation & Reporting: Proficiency in preparing project documentation, status reports, meeting notes, and action items. Ability to maintain organized project files and ensure all project information is easily accessible.
  • Team Collaboration: Ability to work effectively within a team environment and assist senior project managers in supporting cross-functional teams. Comfort with handling team-related queries and keeping all members aligned with project goals.
  • Project Management Tools: Familiarity with project management software such as Microsoft Project, Asana, Trello, or Jira. Basic knowledge of tools used for task tracking, project scheduling, and document management.
  • Attention to Detail: High attention to detail when reviewing project plans, schedules, and documentation to ensure accuracy and completeness. Ability to spot issues and discrepancies early on.
  • Stakeholder Management: Ability to assist in managing relationships with stakeholders, clients, and vendors, ensuring that project expectations are aligned and communicated clearly.
  • Adaptability & Flexibility: Ability to adapt to changing project requirements and adjust schedules or plans as necessary. Willingness to learn new project management techniques and tools as needed.
  • Education: A degree in Business Administration, Project Management, Engineering, or a related field is preferred. Relevant certifications in project management (e.g., CAPM, PMP) or coursework in project management methodologies are a plus.
  • Experience: Prior experience in project coordination, administrative support, or internships in project management is desirable. Strong familiarity with basic project management concepts and tools is an advantage.
