The incumbent will support the day-to-day administration and coordination of postgraduate academic and research-related matters, including admissions, course registration, examinations, curriculum and syllabus review, student records management, student enquiries, and policy documentation. The incumbent will work closely with academic leaders, university stakeholders, and students to ensure the efficient delivery of services and the smooth operation of Graduate Studies functions.

Job Responsibilities:

  • Support the full spectrum of postgraduate student administration, including admissions, course registration, course exemptions, briefings, examinations, leave matters, outreach and publicity, website content maintenance, overseas conference processing, research internship programmes, and related operational processes.

  • Partner with Associate Deans, Programme Directors, and academic staff to review curricula and syllabi, and to prepare, coordinate, and submit academic proposals, changes, and related documentation.

  • Plan, coordinate, and oversee the end-to-end examination process, including examination timetable preparation, venue coordination, examination administration, result processing support, and post-examination follow-up.

  • Prepare, update, and maintain student handbooks, FAQs, student instructions, policy documents, workflow guides, letters, timelines, checklists, forms, and other operational materials to ensure accuracy and consistency.

  • Administer SkillsFuture claims and other initiatives managed by the Centre for Professional and Continuing Education (PACE), ensuring compliance with relevant policies and submission requirements.

  • Serve as a main point of contact for Master of Science programme enquiries via counter, email, and phone, and provide timely and professional support to students, alumni, faculty, and external stakeholders.

  • Support the management of research integrity matters, including coordination of related cases, documentation, tracking, and administrative follow-up.

  • Provide student advisory support on general academic and administrative matters and refer cases requiring escalation or specialist intervention as appropriate.

  • Liaise closely with NTU offices, departments, and other schools to coordinate postgraduate academic matters and ensure smooth cross-functional operations.

  • Maintain accurate and timely updates of graduate student records and programme data in college and university systems, ensuring data integrity and compliance with internal requirements.

  • Support the Manager/Assistant Director across all areas of Research and Graduate Studies, including data collation, statistical reporting, presentation materials, ad hoc seminars, events, and other assigned projects.

  • Evaluate existing workflows and implement improvements to enhance efficiency, accuracy, and responsiveness.

Job Requirements:

  • A degree with at least 3 years of relevant experience, preferably in an educational institution or higher education environment.

  • Prior experience in student administration, postgraduate programme operations, or academic support is highly preferred.

  • Strong proficiency in Microsoft Office applications and office IT systems comfortable working with data, databases, and online administrative platforms.

  • Strong system and data literacy, with the ability to handle large volumes of information accurately and efficiently.

  • Meticulous, well-organised, and detail-oriented, with a strong sense of ownership and follow-through.

  • Service-oriented with excellent interpersonal, communication, and organisational skills.

  • Able to engage effectively with stakeholders at different levels, including students, faculty, and administrative colleagues.

  • Able to multitask, manage competing deadlines, and work under pressure with minimal supervision.

  • Strong analytical, problem-solving, and coordination skills, with the ability to work both independently and collaboratively.
