The Assistant Manager, Finance and Administration is responsible for the daily management of all administrative functions of ACPA.
The Assistant Manager will report directly to the fractional Head of Operations and work closely with the wider team.

. In consultation with the fractional Head of Operations, establish and implement internal controls, and administrative systems, policies and procedures to ensure that ACPA's daily operational activities are efficient, effective, mitigate financial and legal risks and in line with approved strategic initiatives and budgetary allocations
. Preparation of financial budgets and cash flow forecasts, including actively monitoring and understanding budget variances
. Liaises with outsourced Accounting, Legal and Tax Service providers and managing banking relationships.
. Together with the outsource accounting service provider, prepares documents and schedules for annual audit, and liaises with auditors
. Preparation of Internal and External reporting including inter alia Board Meetings, Grant Funders and the EDB.
. Ensures all Grant Funding requirements are met
. Review of all legal contracts in consultation with External Legal Counsel
. Responsible for daily Human Resource operations including the administration of HR policies, regulatory compliance and recruitment of employees
. In consultation with the Fractional Head of Operations, oversees Outsource Payroll Service and IT Service Providers and ensures the security of ACPA's Data and IT systems
. Responsible for all Procurement needs of the office.
The Ideal candidate is
. a Singapore citizen or permanent resident with at least 3 years of experience in a finance and administration role.
. A proactive and detail-oriented problem solver with an aptitude for efficient business processes and tools, with a hands-on, can-do and low-ego attitude towards changes and challenges.
. Genuine enthusiasm for the Advisory's mission and a clear sense of urgency around accelerating climate philanthropy in Asia.
. Diploma / University degree in accounting or finance.
. Minimum 3 years experience in finance and administration ideally with a nonprofit organization or small start-up.
. Experience dealing with auditors and external stakeholders.
. Strong interpersonal, communication, and organizational skills.
. Ability to work both independently, collaboratively and effectively in a small, fast-moving environment.Self-directed, with the ability to manage multiple priorities and deliver high-quality outputs with limited supervision.
. Excellent written and oral communication, presentation and negotiation skills
. Proficient in Microsoft Office applications especially advanced excel skills and administrative documentation.
. Proficiency with computerized financial systems. Experience with Quickbooks would be an advantage.
. Experience in preparing for and coordinating financial audits
. Flexibility, adaptability and willingness to take on a wide range of tasks
. Ability to handle confidential matters
