Job Description

1. Position Overview

Provide comprehensive administrative, financial, and project management support to Kajima Asia Pacific Holdings and its group companies, including a technology, open innovation platform and a corporate venture capital. Responsibilities include visitor coordination, board meeting administration, budgeting, financial reporting, investment monitoring, and operational support across various corporate functions

2. Key Responsibilities

1) Coordinate company office building (The GEAR) visits and tours for internal teams, external partners, student groups, etc. Manage schedules, participant lists, communication with related organizations, and prepare presentation materials and attend on-site visits.

2) Coordinate meeting schedules with directors and shareholders. Prepare, compile, and distribute board materials, support meeting operations and take accurate minutes.

3) Collect investor materials and financial statements from portfolio companies. Attend board meetings and prepare monitoring sheets. Maintain internal records and coordinate with investment teams.

4) Prepare management reports, explanatory materials, and presentations as required.

5) Prepare annual budgets and update performance forecasts. Manage expense budgeting for operating costs and project-related activities.

6) Prepare full sets of accounts, monthly financial statements, and analysis for HQ. Provide required documents for auditors and handle audit-related inquiries. Coordinate with external valuation firms regarding investment fair value assessments.

7) Manage internal approval processes and prepare necessary documentation. Conduct P&L management for assigned projects. Coordinate with technical, research and development teams.

8) Prepare required documents and coordinate internal/external approval processes. Arrange remittances and complete related procedures.

9) Perform other assignments related to finance, tax, legal affairs, HR, general affairs, and IT matters as requested by company management.

3. Requirements

1) Recognized Degree in Accountancy or equivalent professional qualification or experience (ACCA, CPA, CA etc.).

2) Minimum 5 to 7 years relevant job experience with a senior role in a construction and or real estate development company in Japan preferred.

3) Strong organizational and multitasking skills.

4) Proficiency in Microsoft Office (Excel, PowerPoint, Word).

5) Analytical with good interpersonal skills and the ability to work under pressure with a tight reporting deadline.

6) Good understanding and knowledge of corporate governance, regulatory compliance, and accounting principles in Singapore, Japan and other Asian countries.

7) As some board members and the shareholders are based in HQ in Japan, Japanese language skills and knowledge at the levels of the Japanese Language Proficiency Test (JLPT) Level N1 is a must at a minimum to discuss and do business, as well as to prepare reports as may be required by the management, board, shareholders, or HQ. Similar English skills and knowledge preferred.
