Overall Job Purpose
Provide administrative support to Procurement Officers to ensure the efficient delivery of procurement services.
Key Responsibilities
- Provide administrative support to the Procurement team in managing end-to-end tendering processes, from preparation to award, ensuring accuracy and compliance with organizational policies and procedures.
- Administer GeBIZ-related tender processes, ensuring timely and accurate processing of all relevant activities in accordance with established guidelines.
- Manage GeBIZ Management as GeBIZ Administrator and support all internal staff in GeBIZ issues.
- Liaise with business units to monitor and track pre- and post-award tender activities, maintain accurate documentation, and manage contract expiry timelines. Handle non-complex supplier communications related to tender matters.
- Maintain and update the central tender register; develop and manage automated dashboards for procurement data analytics to monitor tender validity and contract expirations. Perform data extraction to support audits and provide actionable procurement insights.
- Manage procurement documentation in line with the organization's knowledge management policies and procedures.
- Ensure systematic filing, documentation, and archiving of procurement records.
- Collate, compile, and submit procurement reports as required.
Job Requirements
- Proven experience in procurement administration and documentation.
- Strong background in government procurement processes, with hands-on experience using GeBIZ and data analytics tools.
- Familiarity with the Instruction Manual on the Management of Public Records (IM4L) is an advantage.
- Highly meticulous, with strong analytical and organizational skills.
- Excellent written and verbal communication abilities.
- Resourceful and committed, able to work independently and collaboratively; demonstrates strong interpersonal skills.
This is a 3-year contract with the possibility of renewal.
