Job Description

The Role is responsible for overseeing the coordination of vessel chartering, feedstock logistics, and procurement operations to ensure seamless execution of the company's supply chain and trading activities. This role leads a small operations team, providing guidance and direction to ensure efficient chartering execution, timely delivery, and accurate documentation of feedstock cargoes. The position exists to drive operational excellence, optimize logistics performance, and uphold compliance and quality standards across all shipments and procurement processes, contributing directly to business continuity, cost efficiency, and supply reliability.

Key Responsibilities

  • Vessel Chartering
    • Coordinate vessel chartering activities to ensure timely and cost-effective transport of feedstock cargoes
    • Evaluate vessel options, freight rates, and chartering terms
    • Negotiate freight contracts and monitor vessel performance to ensure compliance with charter party terms
    • Liaise with brokers, shipowners, and agents for fixture confirmations, voyage instructions, and laytime updates.
    • Track vessel schedules, monitor voyage progress, and address operational issues or delays proactively.
  • Procurement & Order Management
    • Initiate and manage procurement orders and track payment processes
    • Maintain updated inventory records and a structured purchasing database and filing system
    • Collaborate with suppliers and internal procurement teams to follow up on orders and confirm delivery timelines
    • Verify supplier delivery cargo readiness, quantities and specifications
    • Ensure all procurement-related documentation complies with internal controls and audit requirements.
  • Feedstock Operations Coordination
    • Liaise with the Feedstock Planner to ensure planning alignment
    • Liaise with suppliers and surveyors for inspections and quality adherence
    • Work closely with documentation team to ensure completeness and accuracy of shipping documents
    • Confirm timely availability and accuracy of draft and final shipping documents
    • Provide complete documentation to the finance department for timely payment processing.
    • Support smooth cargo transfer and in-tank handling coordination between suppliers and storage terminals
  • Demurrage Management
    • Review demurrage calculations and claims to ensure accuracy and compliance with contract terms
    • Maintain a tracking log of potential demurrage exposures and proactively escalate risks to management
    • Forward validated claims to suppliers for resolution and settlement, and maintain documentation for audit purposes.
    • Assist in negotiating and closing demurrage settlements aligned with corporate policies
  • Ad-Hoc Projects
    • Support line managers with various operational and project-based tasks as required
    • Participate in process improvement initiatives aimed at enhancing efficiency and data transparency
    • Assist in system implementation, reporting automation, or sustainability traceability projects related to feedstock operations.
What We're Looking For

  • Min. Higher Diploma in Finance, Business, or a related discipline.
  • 3-5 years experience preferably in Cargo Operations and Chartering.
  • Strong analytical skills with the ability to interpret complex ownership structures and legal documents.
  • High attention to detail and accuracy in documentation and record keeping.
  • Excellent communication skillsable to present findings clearly and concisely.
  • Proactive, resourceful, and able to manage multiple priorities in a fast-paced environment.
  • Integrity, discretion, and a strong sense of accountability.
