Job Description

Young and research-intensive, Nanyang Technological University, Singapore (NTU Singapore) is ranked among the world's top universities. The VP(AI&DE) Office coordinates national AI programmes hosted at NTU, shapes university-wide AI policies, and represents NTU in national and international AI engagements.

We are seeking a dynamic and highly motivated individual to join the VP(AI&DE) Office as an Assistant Manager, Business Operations Management. Working closely with the Manager, you will play a key role in the management and delivery of high-impact national and international programmes - including large-scale AI initiatives and competitions - while coordinating across government agencies, research partners, and internal NTU departments to advance NTU's strategic AI objectives. Job Responsibilities

Project & Programme Management

  • Manage, execute, and track multiple high-value, concurrent projects simultaneously - spanning institutional, national, and international programmes - from initiation through to successful completion, ensuring quality assurance and compliance with NTU's policies and guidelines throughout.

  • Drive the smooth running of national programmes hosted under the VP(AI&DE) Office, such as the NRF AI4S Programme Office and AI Singapore's pillars hosted by NTU, including coordinating multi-stakeholder alignment across internal NTU units and external national agencies, and support the integration of these programmes with NTU's systems and processes.

  • Plan meeting cadence, take meeting minutes, track action items, monitor progress, and review deliverables to ensure work plans and timelines are met.

  • Provide periodic progress updates to leadership and proactively escalate critical issues for timely resolution.

Policy & Governance

  • Contribute to the formulation and development of university-wide AI policies. Lead the implementation and ongoing governance of these policies through working collaboratively across multiple NTU departments to ensure robust procedures and system integrations are in place.

  • Perform regular reviews of policies, procedures, and guidelines to ensure continued relevance and effectiveness.

  • Evaluate incoming resource and procurement requests (e.g. GPU workstations, servers, and cloud credits) in compliance with university policies, managing a substantial volume of requests per month, while maintaining organised, comprehensive records of all requests and outcomes to ensure seamless audit readiness.

  • Facilitate the review of university-level collaboration agreements.

Stakeholder Engagement & Communications

  • Engage faculty and administrators across colleges, schools, centres, and external entities to implement management decisions with clarity and efficiency.

  • Collate and synthesise information on AI-related initiatives, programmes, and projects to support management decisions - including drafting reports, official proposals, meeting briefs, and progress updates, some of which require in-depth research into the AI landscape locally and internationally.

  • Develop visually engaging and compelling materials that showcase the University's AI capabilities and achievements to external partners and stakeholders, including for high-visibility national and international audiences.

Events & Outreach

  • Lead the end-to-end planning, logistics, and onsite execution of university-, national-, and international-level events - including workshops, NTU-hosted competitions such as the National Olympiad in AI in collaboration between AISG and NTU, and flagship international events such as the hosting of International Olympiad in AI (IOAI) 2027 - requiring meticulous coordination with Senior Management and key stakeholders across government, industry, and academia.

General Administration

  • Support other general administrative duties and ad-hoc projects as assigned.

Qualifications, Experience, and Skills

  • Degree from a recognised university.

  • Preferably at least 3 - 5 years of working experience.

  • Experience in programme management and/or partnership development, preferably within research, academic, or technology environment.

  • Team player, resilient, persistent and self-motivated nature with experience handling multiple projects and tasks.

  • Strong interpersonal and communication skills, with a proven ability to positively interact with co-workers at different levels.

  • Strong organisational and project management skills, with attention to detail and the ability to manage multiple initiatives concurrently.

  • Pragmatic approach to change and problem-solving especially when working to tight deadlines.

  • Excellent administrative skills and fully competent in MS Office applications and databases.
