Job Description

The Assistant HR Manager will support Management inensuring the smooth and efficient running of the company's HR andadministrative functions, while maintaining proper employee records, supportingstaff welfare and ensuring compliance with company policies and applicableemployment requirements.

1. Human Resources Administration

  • Assist in the day-to-day management of HR operations and administrative matters.
  • Maintain and update employees personal records, employment contracts and HR documentation.
  • Maintain accurate records of annual leave, medical leave, off-in-lieu, unpaid leave and other types of leave.
  • Monitor staff attendance, working hours and punctuality.
  • Assist with staff movements, transfers, confirmations, resignations and other employment changes.
  • Set performance goals, coordinate appraisals, and guide managers on feedback or disciplinary actions.
  • Create company handbooks, enforce internal rules, and ensure adherence to local labour laws
  • Responsible for work pass administration such as work pass applications, renewal, cancellation, and medical arrangements.
  • Ensure proper filing and confidentiality of HR records.
  • Suggest improvements on existing HR policies and framework to support and resolve existing challenges.

2. Recruitment & Onboarding

  • Assist in recruitment activities, including preparing job advertisements, arranging interviews and coordinating with candidates.
  • Prepare employment offers, appointment letters and other relevant documentation.
  • Coordinate the onboarding and orientation of new employees.
  • Management and administration of HR-related training and employment government grants
  • Ensure new staff are provided with the necessary information, access and company resources.

3. Payroll & Benefits Administration

  • Assist in preparing and verifying monthly payroll information.
  • Check attendance, leave records, overtime, allowances, deductions and other payroll-related information.
  • Liaise with payroll providers or relevant departments where required.
  • Assist in the administration of employee benefits, medical claims and other staff welfare matters.

4. Staff Welfare & Employee Relations

  • Attend to employees HR-related enquiries and provide guidance on company policies and procedures.
  • Assist Management in handling staff welfare and employee-relations matters.
  • Coordinate staff activities, celebrations, welfare initiatives and other employee engagement programmes.
  • Assist in addressing workplace concerns and escalating sensitive matters to Management when necessary.

5. HR Policies & Compliance

  • Assist in implementing and maintaining HR policies, procedures and company guidelines.
  • Ensure HR practices comply with applicable Singapore employment laws and regulations.
  • Assist with statutory submissions and employment-related requirements where applicable.
  • Keep updated on changes to employment regulations and advise Management accordingly.

6. Training & Staff Development

  • Assist in identifying training needs and coordinating staff training programmes.
  • Maintain records of staff training and development.
  • Assist with performance appraisal and staff evaluation exercises.
  • Support Management in staff development and career-planning initiatives.

7. General Office Administration

  • Assist Management with general administrative and operational matters.
  • Coordinate office-related matters and liaise with vendors and service providers when required.
  • Assist in preparing staff notices, internal communications and HR-related announcements.
  • Support Management in implementing administrative procedures and operational improvements.

8. Confidentiality & Professional Conduct

  • Maintain strict confidentiality of employees personal information, salaries, performance records and other sensitive HR matters.
  • Handle HR matters professionally, fairly and discreetly.
  • Ensure all HR documentation and information are properly maintained and accessible only to authorised personnel.
