Key Responsibilities
Order Management & Communication:
- Plan, communicate, and manage order cut-off schedules for SEAO markets.
- Collaborate with stakeholders to improve order distribution and fulfillment lead times.
- Address and resolve concerns related to SAP technical issues, testing, and master data maintenance.
Distribution & Operations
- Establish distribution goals and oversee daily operations to ensure smooth and efficient processes.
- Collaborate with transport partners to optimize efficiency, reduce transport costs, and improve service levels.
- Ensure timely collection and delivery of goods for both B2B and B2C channels.
- Validate invoices, prepare cost allocation files, and analyze delivery performance metrics. Ensure compliance with Group directives, customs regulations, and government requirements.
CITES Management
- Review and maintain CITES buffer stock levels to ensure compliance with international regulations.
- Ensure accurate and complete CITES documentation.
- Balance cost considerations with CITES permit requirements.
- Account for monthly CITES permit usage and reporting.
Security & Insurance
- Manage the claims database and oversee the processing of insurance claims.
- Arrange surveys, file claims, and follow up on claims until resolution.
- Coordinate with Maisons and partners for security and insurance matters related to events and photoshoots.
Transport Partner Management:
- Conduct annual reviews of transport partners to assess performance and identify areas for improvement.
- Propose service and cost improvements to optimize transport operations.
- Support the sourcing and selection processes for new transport partners.
Project Management
- Lead process improvement initiatives to enhance distribution efficiency and effectiveness.
- Participate in Group and Regional projects related to distribution and logistics.
- Coordinate with stakeholders to ensure project alignment and successful implementation.
- Provide timely project updates to management and stakeholders.
Staff Management
- Recruit, appraise, develop, and motivate staff to build a high-performing and cohesive team.
- Focus on succession planning to ensure continuity and growth within the team.
Qualifications
- A bachelor's degree is preferred, ideally in logistics, supply chain management, business administration, or a related field
- Minimum of 3 to 5 years of experience is typically required in logistics, distribution, or wholesale operations in a similar capacity. Experience within the luxury sector is highly advantageous.
- Deep understanding of freight forwarding, transportation modes (air, ocean and ground), and customs clearance procedures is crucial
- Excellent written and verbal communication skills are needed to collaborate with internal teams and external partners.
- Effective time management, organizational skills, and project management experience.
- Demonstrating initiative and a sense of urgency in problem-solving and addressing escalations is highly valued.
- A willingness to adapt to new situations, shifting priorities, and ambiguity is a key requirement in a dynamic luxury environment.
- The ability to work effectively with cross-functional teams and build strong professional relationships is important.
- Familiar with logistics software, including Warehouse Management System (WMS), transportation management systems (TMS), and other relevant tools (SAP experience is an advantage)
