As a Branch Operations Assistant, you will ensure smooth daily showroom operations, manage vehicle inventory and handovers, and coordinate essential dealership administration. You will collaborate closely with internal teams (Sales, Workshop, Finance) and external partners (customers, tow drivers, and automotive portals like Sgcarmart) to deliver a high standard of operational support.
Branch Administrative Support
Branch & Sales Coordination: Assist the Branch Manager with daily office administration, update sales duty rosters, track deal progress, and compile reports to support monthly branch targets.
Financial & Claim Processing: Process marketing claims and petty cash entries, and submit customer refund requests for managerial approval.
Document Verification: Perform initial document checks on AppSheet for completeness and accuracy before submitting to the main Operations team.
Cross-Department Liaison: Relay information and coordinate paperwork flow across Sales, Purchasing, Financing, and Operations to ensure seamless internal workflows.
Vehicle Inspection & Handover Execution
Quality Control & PSI Verification: Inspect incoming and outgoing vehicles against cosmetic defects, verifying completed Pre-Sales Inspections (PSI) prior to showroom acceptance.
Handover Support: Prepare spare keys to ensure smooth, on-time customer deliveries.
Inventory & Fleet Maintenance
Stock Audits & Tracking: Conduct daily vehicle stocktakes and monthly branch audits to maintain 100% system accuracy.
Vehicle Movement & Records: Promptly update records for all vehicle movements, trade-ins, and deliveries, providing real-time updates on new car arrivals.
Fleet Readiness & Key Management: Label and organise all vehicle keys by licence plate, and maintain an accurate key-tracking record to ensure keys are easy to locate and accounted for at all times.
Vehicle Listing & Merchandising
Online Listing Management: Record vehicle details and pricing upon arrival, coordinate photoshoots, and publish listings on platforms like Sgcarmart on the same day.
Qualification in GCE O / N Level, Nitec, Higher Nitec, Diploma, or Degree in any discipline.
Formal training, certification, or education in Automotive Engineering, Technology, or a related discipline is highly advantageous.
Minimum 2 years of practical experience within the automotive sector (e.g., vehicle inspection, fleet management, workshop maintenance, or dealership operations).
Possess a valid Singapore Class 3 or 3A Driving License with a clean driving record and willingness to travel island-wide as needed.
Familiarity with LTA (Land Transport Authority) guidelines, vehicle transfer procedures, and VICOM / STA inspection processes is a strong plus.
Strong communication and interpersonal skills to build rapport with stakeholders at all levels.
High adaptability with the ability to multitask, prioritize effectively under pressure, and resolve operational roadblocks quickly.
Self-driven and comfortable working independently while remaining a dependable, collaborative team player.
