Role Description
The Assistant Manager – Land Security Maintenance is responsible for the day-to-day management and coordination of the Land Security fleet maintenance contract. The role serves as a key operational interface between the customer, relevant authorities, internal operations teams and external contractors, ensuring all maintenance activities, documentation and contractual obligations are properly managed and delivered on time.
The successful candidate will support the Project Director in maintaining strong contract governance, meeting service KPIs and ensuring operational issues are followed through to closure.
Key Responsibilities
Customer & Stakeholder Management
- Serve as a key point of contact for the customer on day-to-day maintenance and operational matters.
- Coordinate with customer representatives, government authorities and relevant stakeholders.
- Attend operational, performance and contract meetings.
- Follow up on customer requests, feedback, outstanding actions and service issues until closure.
- Escalate critical operational or contractual matters promptly to the Project Director.
Contract & Compliance Management
- Ensure all activities comply with contractual requirements, specifications, SOPs and service standards.
- Maintain clear oversight of contractual deliverables, response times, service levels and reporting requirements.
- Track contractual obligations and ensure all submissions are accurate and completed within stipulated deadlines.
- Maintain supporting documentation for audits, claims, inspections and contract reviews.
- Identify potential non-compliance early and coordinate corrective actions to prevent recurrence.
KPI & Contractor Management
- Monitor operational and contractor performance against contractual KPIs and service-level requirements.
- Maintain KPI trackers and provide regular performance updates to the Project Director.
- Investigate KPI misses, service failures and recurring operational issues.
- Coordinate root-cause analysis and ensure corrective and preventive actions are implemented and closed.
- Manage contractors and vendors to ensure work quality, turnaround time, documentation and service standards are met.
- Identify potential KPI or LD exposure early and implement recovery actions before contractual performance is affected.
Operations Management
- Oversee daily fleet maintenance operations to ensure vehicle availability and timely completion of maintenance and repair works.
- Coordinate closely with workshop, operations, technical and administrative teams.
- Monitor outstanding vehicles, repair progress, downtime and operational bottlenecks.
- Priorities urgent and critical cases and ensure timely communication with stakeholders.
- Support manpower planning and deployment to meet operational requirements.
Team Management
- Supervise administrative and operations staff supporting the Land Security contract.
- Assign responsibilities and ensure proper follow-up of daily tasks and outstanding matters.
- Ensure accurate maintenance of records, trackers, reports and supporting documents.
- Establish clear workflows, responsibilities and accountability across the team.
- Drive continuous improvement in operational discipline and service delivery.
Reporting & Documentation
- Prepare and submit operational reports, KPI reports, maintenance records and contractual submissions within required timelines.
- Maintain accurate records of vehicle maintenance status, incidents, contractor performance and outstanding actions.
- Prepare supporting information for customer meetings, audits and management reviews.
- Ensure documentation remains complete, traceable and audit-ready.
Requirements
- Diploma or Degree in Engineering, Automotive Engineering, Mechanical Engineering, Business, Operations Management or a related discipline.
- Minimum 3–5 years of relevant experience in fleet maintenance, automotive operations, contract management or similar operational environments.
- Experience managing government contracts, public-sector customers or large fleet maintenance operations is an advantage.
- Good understanding of contractual KPIs, SLA management, operational reporting and contractor management.
- Experience supervising operations and administrative personnel.
- Strong stakeholder-management and communication skills.
- Strong organisational and follow-up capabilities with the ability to manage multiple deadlines.
- Proficient in Microsoft Excel, PowerPoint and Word; comfortable working with fleet or maintenance management systems.
- Able to analyse operational issues, identify root causes and drive corrective actions independently.
What We Are Looking For
We are looking for someone who is hands-on, structured and accountable. This is not purely an administrative role. The Assistant Manager will be expected to work closely with customers, authorities, operations teams, workshops and contractors to ensure issues are resolved and contractual commitments are consistently met.
The individual should be able to identify potential service or KPI failures early, take corrective action and keep the Project Director informed of significant operational and contractual risks.
