At The Hut Limited, we create an environment where children and youth from Kindergarten 1 to Secondary 5, especially those from lower-resourced backgrounds are empowered to redefine their potential. As a registered IPC-status charity, our organisation is built by the mission of Honouring Dreams, Unleashing Potential, Transforming Lives. Our vibrant Marine Parade drop-in centre is located at the first floor of a HDB block and provides a safe and nurturing environment where young people can learn, grow and build meaningful relationships. Through our curated programmes, we support children and youth to develop in five key domains: Growth Mindset, Positive Identity, Positive Values, Positive Belonging and Self-Management.
General Administration
- Oversee day-to-day office operations, including managing phone and e-mail correspondence, mailbox and walk-in enquiries.
- Maintain electronic and physical filing systems, ensuring confidentiality and accuracy.
- Draft internal and external communications, reports and official documents.
- Attend meetings and record accurate minutes.
- Manage the organisation's website and listings on other platforms.
- Oversee cleaning vendor.
- Support Executive Director in preparing annual report.
- Track key deadlines for the organisation.
Finance Support
- Ensure timely payments to vendors.
- Liaise with outsourced bookkeeper for payments and accounts reconciliations.
- Monitor monthly expenditure of programmes and office and update Executive Director on utilisation.
Fundraising and Donor Administration
- Support fundraising functions, including overseeing fundraising platforms, maintaining accurate donor and donation records.
- Generate and issue donation receipts and reports.
- Draft grant applications.
- Oversee in-kind donations.
- Administer a grant for student attendance and oversee any distributions.
Inventory & Office Operations
- Oversee office supplies, pantry supplies, centre supplies, volunteer snacks and drinks.
- Ensure a safe and well-maintained office and centre environment in compliance with health and safety regulations.
- Liaise with contractors and service providers for repairs, maintenance and upgrades.
- Schedule and oversee routine maintenance activities, such as cleaning, electrical and fire inspections.
- Oversee and update the external noticeboards.
Programmes and Event Support
- Rotate for drop-in duty.
- Provide support to colleagues in preparing programme and event logistics.
- Support Executive Director in planning team-bonding activities.
Other Duties
- Provide administrative support to the organisation.
- Undertake any other reasonable ad hoc duties as assigned.
Qualifications & Experience
- Diploma or Degree in Business Administration, or a related field.
- 2-3 years of administrative experience, ideally within the non-profit, charity or social services sector.
