We are one of the largest one-stop Underground Utilities Infrastructure companies based in Singapore. We provide Underground Utilities Infrastructure construction and maintenance, sewer pipeline rehabilitation, road and airfield construction and maintenance as well as asphalt pre-mix production and construction waste recycling.
RESPONSIBILITIES
We are looking for a detail-oriented Administrative Assistant to support our Integrated Management System (IMS) documentation. The role plays a key part in ensuring accurate, up-to-date, and compliant document control across ISO 9001, ISO 14001, and ISO 45001 standards, helping to strengthen quality, safety, and operational excellence within the organisation.
Job Responsibilities
- Manage and maintain a centralized document control system for IMS documentation.
- Ensure all documents are properly reviewed, approved, issued, and updated in accordance with document control procedures.
- Maintain control of document versions, revisions, and distribution to ensure only the latest versions are in use.
- Develop and implement standardized templates for company-wide documentation (procedures, forms, records, and reports).
- Maintain master registers for both controlled internal documents and external documents.
- Ensure proper filing, retention, and retrieval of records in compliance with retention requirements.
- Support departments in aligning documentation with IMS and ISO requirements.
- Ensure compliance with ISO 9001, ISO 14001, and ISO 45001 document control standards.
- Support internal and external audits by ensuring timely availability and accuracy of documentation.
- Assist in addressing audit findings related to document control and records management.
- Coordinate with project teams, safety, and support departments to ensure timely updates and proper approval of documentation.
- Monitor and ensure proper authorization of legal, mandatory, and safety-related documents.
- Identify gaps in document control processes and recommend improvements.
- Support initiatives to improve document management systems and digitalization efforts.
QUALIFICATIONS- Diploma or Degree in Business Administration, Quality Management / Quality Assurance, Information Management, Records Management, or a related discipline.
- Strong familiarity or direct exposure to ISO 9001 (Quality), ISO 14001 (Environmental), and ISO 45001 (Occupational Health & Safety) Integrated Management Systems.
- Proven track record in professional document control, records management, or compliance-heavy administrative environments.
- High level of detail orientation, strong organizational skills, and the ability to collaborate effectively with diverse internal and external stakeholders.
