Job Description

Construction company engaged in various construction and engineering projects in Singapore. We are seeking a responsible and organized Administrative & Operations Coordinator to support office administration, payroll processing, worker management, dormitory coordination, and project-related documentation.

Key Responsibilities

Administrative & Documentation Duties

. Prepare, organize, and maintain company records, project documents, permits, and administrative files.

. Handle daily correspondence, including emails, letters, and communication with clients, suppliers, government agencies, and employees.

. Verify and process invoices, purchase orders, delivery orders, and supporting documents.

. Maintain accurate records of employees, subcontractors, suppliers, and project-related documentation.

. Assist in work pass administration, including monitoring pass validity, medical appointments, training records, and regulatory requirements.

. Ensure proper filing and compliance with company procedures and statutory requirements.

Payroll & Accounting Support

. Assist with payroll preparation and salary computation for employees.

. Verify attendance records, overtime claims, allowances, deductions, and salary payments.

. Maintain payroll records and ensure accurate salary processing.

. Prepare and verify accounting documents, invoices, receipts, and payment records.

. Assist in bookkeeping and reconciliation of records.

. Support administrative matters relating to tax and statutory record-keeping requirements.

. Liaise with external accountants, auditors, and relevant authorities when required.

Worker & Accommodation Coordination

. Coordinate employee accommodation arrangements, including check-in, check-out, room allocation, and transportation arrangements.

. Maintain records relating to employee accommodation and employment information.

. Assist employees with administrative matters relating to accommodation, training, medical appointments, and employment documentation.

. Communicate company policies, safety requirements, and operational instructions to employees.

. Monitor attendance records and report manpower-related matters to management.

. Coordinate deployment of employees to project sites according to operational requirements.

Site Support Coordination

. Manage inventory and distribution of Personal Protective Equipment (PPE), including safety helmets, safety shoes, reflective vests, gloves, and other required equipment.

. Maintain PPE issuance records and coordinate replenishment when required.

. Assist in ensuring compliance with workplace safety requirements and company procedures.

Operations Coordination

. Coordinate with project managers, supervisors, site personnel, and employees regarding daily operational matters.

. Arrange transportation and deployment schedules when necessary.

. Support manpower planning and workforce coordination.

. Perform other administrative and operational duties as assigned.

Requirements

. Diploma, Higher NITEC, NITEC, or equivalent qualification in Business Administration, Accounting, Human Resource Management, or related disciplines.

. Experience in administration, payroll, accounting support, construction administration, or operations coordination will be an advantage.

. Proficient in Microsoft Office applications (Word, Excel, Outlook).

. Familiarity with payroll processing and basic accounting principles.

. Knowledge of Singapore employment regulations, work pass administration, and construction industry practices will be an advantage.

. Strong organizational, documentation, and record-keeping skills.

. Good communication and interpersonal skills.

. Able to work independently and manage multiple responsibilities in a fast-paced environment.

. Meticulous, responsible, and able to maintain confidentiality of company and employee information.

Preferred Skills

. Experience in construction industry administration.

. Knowledge of payroll and accounting software.

. Experience in workforce administration and accommodation coordination.

. Experience liaising with government agencies such as MOM, IRAS, and other relevant authorities.
