Job Summary
Wink Capsule Hotel seeks a responsible and highly organized Admin, Operations & Finance Executive to support daily business operations through effective office administration, operational coordination, finance support, and company secretarial assistance in a dynamic hospitality environment.
Responsibilities
Office Administration
- Manage and maintain organized digital records, contracts, and internal documents to ensure easy retrieval and compliance
- Prepare administrative reports and update internal tracking spreadsheets to support management decision-making
- Assist management in drafting documents, letters, and internal communications to facilitate smooth information flow
Operations Support
- Coordinate operational activities across multiple Wink outlets to ensure consistent service delivery
- Track maintenance requests and liaise with technicians or vendors to resolve issues promptly
- Monitor inventory of operational supplies and assist with procurement to maintain uninterrupted operations
- Support operational planning and internal coordination to optimize resource allocation and workflow
Finance & Accounts Support
- Prepare invoices and payment records accurately to support financial transactions
- Track vendor invoices and operational expenses to maintain up-to-date financial records
- Assist with finance documentation and basic bookkeeping to ensure audit readiness
- Liaise with external accountants to facilitate timely financial reporting and compliance
Company Secretary Support
- Maintain company statutory records and documents to ensure regulatory compliance
- Coordinate with external corporate secretary for ACRA filings and compliance matters
- Track corporate deadlines such as annual returns and resolutions to avoid penalties
- Assist with preparation and filing of company documents as required
Guest & Reservation Administration
- Respond to guest enquiries via email or messaging platforms to enhance guest experience
- Maintain booking documentation to support reservation accuracy and reporting
Required competencies and certifications
- Diploma / NITEC / A-Level or equivalent qualification
- Proficiency in using email, spreadsheets, and basic accounting tools to perform administrative and financial tasks
Preferred competencies and qualifications
- Experience in administration, operations, or accounts support within hospitality or related industries
- Basic understanding of accounting principles or corporate administration practices
