Purpose of the Role:
To provide administrative and operational support during theorganization's transition from a Society to a Company Limited by Guarantee (CLG). This role ensures that legal documentation, member communications, and donor engagements are handled with absolute accuracy and professional care.
This is a 1-year contract role.
Key Responsibilities:
Governance & AGM Secretariat Support
- End-to-end administrative support for coordination forthe 2026 and 2027 Annual General Meetings.
- Manage the physical and digital distribution of legalnotices, proxy forms, and transition documents to members.
Contractual Review & Data Scrubbing
- Assist in the audit and scrubbing of existing service contracts, vendor agreements, and internal documents.
- Collaborate with various departments to ensure all active contracts are identified for novation or renewal under the new CLG entity.
- Maintain an organized repository of legal documents toensure a seamless cut-over to the new entity.
Stakeholder & Donor Transition Management
- Support the team as a point of contact for individualdonors to explain the transition process and handle necessary paperwork (e.g.,updating GIRO forms or donation agreements).
- Coordinate with the Donor Engagement team to ensure consistent messaging.
- Bridge communications between internal teams to ensure no stakeholder is left uninformed during therebrand.
Criteria:
- A relevant Diploma with at least 2 years of admin experience.
- Ability to maintain confidentiality and discretion are of the highest priority.
- Ability to understand SOPs and processes and apply to work assigned.
- Strong written and verbal communication skills, with the ability to work both independently and collaboratively in a team.
- Good time management with the ability to meet deadlines, work under pressure, and proficiency in MS Office applications (e.g., Word Mail Merge and Excel formulas).
