Job Description

Key Responsibilities
1. Customer Service & Coordination

  • Handle incoming calls, WhatsApp enquiries, and walk-in customers
  • Collect customer details (name, contact, car model, car plate, issue)
  • Schedule and manage appointments via Google Calendar
  • Send reminders and follow-ups to customers


2. Administrative Support

  • Issue invoices and maintain proper records
  • Manage customer database and registration forms
  • Maintain filing system (digital & physical)
  • Track customer birthdays and send e-cards / vouchers


3. Operations Support

  • Liaise between customers and operations team
  • Assist in job coordination and appointment confirmation
  • Support workshop daily administrative needs


4. Finance & Documentation

  • Handle petty cash records and documentation
  • Scan and file invoices, receipts, and claim documents daily
  • Ensure proper documentation and compliance with SOP


5. Office & Inventory Management

  • Maintain cleanliness of office and reception area
  • Ensure office supplies and pantry items are stocked
  • Receive goods from suppliers and arrange proper storage/display


Requirements

  1. Minimum GCE O Level / Diploma in any discipline
  2. Prior experience in admin / customer service preferred
  3. Experience in automotive industry is a plus (not mandatory)
  4. Good communication skills
  5. Proficient in basic computer tools (Google Drive, Excel, WhatsApp)
  6. Responsible, organized, and able to multitask
  7. Positive attitude and team player
