Key Responsibilities
1. Customer Service & Coordination
- Handle incoming calls, WhatsApp enquiries, and walk-in customers
- Collect customer details (name, contact, car model, car plate, issue)
- Schedule and manage appointments via Google Calendar
- Send reminders and follow-ups to customers
2. Administrative Support
- Issue invoices and maintain proper records
- Manage customer database and registration forms
- Maintain filing system (digital & physical)
- Track customer birthdays and send e-cards / vouchers
3. Operations Support
- Liaise between customers and operations team
- Assist in job coordination and appointment confirmation
- Support workshop daily administrative needs
4. Finance & Documentation
- Handle petty cash records and documentation
- Scan and file invoices, receipts, and claim documents daily
- Ensure proper documentation and compliance with SOP
5. Office & Inventory Management
- Maintain cleanliness of office and reception area
- Ensure office supplies and pantry items are stocked
- Receive goods from suppliers and arrange proper storage/display
Requirements
- Minimum GCE O Level / Diploma in any discipline
- Prior experience in admin / customer service preferred
- Experience in automotive industry is a plus (not mandatory)
- Good communication skills
- Proficient in basic computer tools (Google Drive, Excel, WhatsApp)
- Responsible, organized, and able to multitask
- Positive attitude and team player
