Responsibilities
- Office Administration: Manage daily office operations, including handling incoming calls, emails, and mail. Maintain office supplies, equipment, and a tidy workspace.
- Scheduling and Coordination: Schedule and coordinate meetings, appointments, and travel arrangements for staff and management. Prepare meeting agendas and take detailed minutes.
- Documentation and Record-Keeping: Create, edit, and organize documents, presentations, and spreadsheets. Maintain and update physical and digital filing systems to ensure easy retrieval of information.
- Support Services: Provide administrative support to management and other team members as needed. Assist with preparing reports, presentations, and other important documents.
- Communication: Act as a point of contact for internal and external stakeholders. Professionally and promptly handle inquiries and requests.
- Financial Tasks: Process invoices, expense reports, and other financial documents. Assist with basic bookkeeping tasks and liaise with the accounting department.
Qualifications
- High school diploma or equivalent
- Proven experience as an administrative assistant, office administrator, or in a similar role.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Excellent written and verbal communication skills.
- Strong organizational and time-management skills with the ability to prioritize tasks and meet deadlines.
- High degree of professionalism and discretion when handling confidential information.
- Ability to work independently and as part of a team.
