Overview
We are seeking a detail-oriented and proactive Administrative Assistant to support our IT services operations. The role involves handling day-to-day administrative tasks, coordinating with clients and internal teams, and ensuring smooth office and service operations. The ideal candidate is organized, resourceful, and comfortable working in a fast-paced IT service environment.
Key Responsibilities
- Provide general administrative support including filing, data entry, documentation, and record-keeping.
- Assist in preparing quotations, invoices, purchase orders, and service agreements.
- Coordinate with vendors, clients, and internal teams on service requests, scheduling, and logistics.
- Handle incoming calls, emails, and enquiries, ensuring prompt follow-up and escalation where necessary.
- Support the IT service team in tracking jobs, service reports, and customer feedback.
- Maintain inventory of office supplies, IT equipment, and consumables.
- Assist with HR-related administration such as leave tracking, onboarding documents, and training schedules.
- Help in organizing meetings, preparing reports, and supporting management as required.
- Ensure proper documentation of contracts, licenses, and compliance records.
Requirements
- Diploma/Certificate in Business Administration, Office Management, or equivalent.
- At least 1-2 years of administrative experience (exposure to IT service industry preferred).
- Proficiency in MS Office (Word, Excel, PowerPoint, Outlook).
- Strong organizational and multitasking skills with attention to detail.
- Good written and verbal communication skills.
- Ability to work independently as well as collaboratively with technical teams.
- Customer-oriented, professional, and adaptable to changing priorities.
Preferred:
- Experience handling invoicing, procurement, or basic finance admin.
- Familiarity with IT service workflows or ticketing systems will be an advantage.
