General Office Support: Serving as the first point of contact for visitors and handling all incoming calls, emails, and mail distribution.
Documentation & Reporting: Maintaining physical and digital filing systems, performing data entry, and preparing regular reports such as attendance, project status, or inventory levels.
Procurement & Inventory: Monitoring stock levels of office and production consumables (e.g., stationery) and liaising with vendors for orders and deliveries.
Compliance Support: Assisting in maintaining ISO 9001 and ISO 14001 certification records, ensuring that documentation for audits is current and accurate.
HR & Finance Admin: Supporting basic bookkeeping tasks like processing invoices and expense reports, quotation preparation, and updating employee attendance or leave records.
Requirements
Education: Minimum GCE O Level, N Level, or Nitec a Diploma in Business Administration or a related field is often preferred.
Experience: Typically 1-3 years of administrative experience, ideally within the engineering, construction, or manufacturing industries.
Technical Skills:- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint and Outlook are essential). Familiarity with office equipment like printers and scanners.
Soft Skills: Attention to Detail: Essential for accurate data entry and maintaining complex technical records. Multitasking: Ability to handle multiple priorities in a fast-paced manufacturing environment. Communication: Strong written and verbal communication skills to liaise with internal teams and external suppliers.
