This Admin & Accounts Executive role is a hybrid position that bridges office operations and financial management within the specialized events and carpentry sector. It requires a candidate who can handle the structured nature of bookkeeping while adapting to the fast-paced, project-driven environment of a workshop and event site.
Accounting & Financial Management
Full Cycle AR/AP: Issue invoices to clients, track incoming payments, and ensure all supplier invoices are verified and paid on time.
Financial Maintenance: Perform monthly bank reconciliations, assist in month-end closing, and maintain organized financial records.
Project Costing: Track specific project expenses and assist in cost reporting to ensure projects stay within budget.
Statutory Compliance: Support GST submissions, CPF processes, and other required statutory filings.
Administrative & Project Support
Documentation: Prepare quotations, job orders, and delivery notes manage filing, data entry, and document control.
Logistics & Procurement: Assist in sourcing materials and coordinating logistics for carpentry and event projects.
Stakeholder Liaison: Act as a point of contact between clients, suppliers, and internal teams to ensure smooth project flow.
Office & HR Support: Handle general office administration, staff attendance, leave records, and claims.
Experience & Technical Skills
Professional Background: 1-3 years of relevant experience in administration and accounts. Experience in events, carpentry, or construction is highly preferred.
Software Proficiency: Skilled in Microsoft Office (specifically Excel) and familiar with accounting software such as QuickBooks, Xero, SQL, or MYOB.
Regulatory Knowledge: Knowledge of Singapore-specific processes like GST and CPF is a significant advantage.

Meticulousness: A high level of accuracy and organization is required to manage financial data and project documentation.
Communication: Strong interpersonal skills to collaborate effectively with both office staff and site/workshop teams.
Adaptability: Ability to work independently and meet deadlines in a fast-paced, industrial environment.
Schedule: 5.5-day work week (Monday to Friday, plus Saturday mornings from 9:00 AM - 12:30 PM when needed).
Environment: Primarily office-based, with occasional visits to the workshop or project sites as required.
