Position Summary
The Accounts Executive is responsible for supporting the Finance Department in managing day-to-day accounting functions, ensuring accuracy in financial reporting, and maintaining compliance with company policies. This role plays a key part in supporting smooth retail operations through timely processing of payments, reconciliations, and administrative coordination.
Key Responsibilities
1. Accounting & Finance Operations
- Handle daily accounting functions including Accounts Payable (AP), Accounts Receivable (AR), invoice processing, petty cash claims, staff reimbursements, and issuance of quotations.
- Maintain accurate data entry and documentation of financial transactions in line with company procedures.
- Assist in preparing weekly and monthly cash flow updates to support payment planning and retail operations.
- Reconcile supplier statements, customer accounts, and resolve billing or payment discrepancies promptly.
- Support month-end and year-end closing activities, ensuring accuracy and timeliness of records.
2. Financial Administration
- Maintain proper filing, scanning, and archiving of finance documents for audit readiness.
- Manage cheque deposits, online banking transactions, and payment scheduling.
- Ensure billing and payment tracking boards are updated ahead of month-end to reflect current outstanding balances.
3. Retail Support & Vendor Liaison
- Liaise with retail outlet teams on billing matters, petty cash claims, and inventory-related transactions.
- Coordinate with suppliers, landlords, and service providers on finance-related matters, including rental payments, utilities, and vendor account setups.
- Communicate with external vendors for courier services, account activation, and essential office/retail supplies (e.g., stationery, packaging, pantry).
4. Office & Facility Support
- Work with building management on facility-related issues (e.g., maintenance, air-conditioning, safety compliance).
- Oversee basic office/retail administrative support such as incoming and outgoing mail, email correspondence, and ad-hoc errands when required.
5. Team Support & Ad-Hoc Duties
- Provide general finance and administrative support to the Accounts and Operations team.
- Undertake any other responsibilities or projects as assigned by Management.
Requirements
- Diploma/Degree in Accounting, Finance, or related discipline.
- At least 2-3 years of relevant accounting experience, preferably in the retail or FMCG sector.
- Strong knowledge of basic accounting principles and practices.
- Proficiency in MS Office (Excel, Word) and accounting software (Xero).
- Detail-oriented, well-organized, and able to meet tight deadlines.
- Good communication skills with ability to liaise across outlets, suppliers, and internal teams.
- Independent, proactive, and a strong team player.
Working Day/Hours:
Monday to Thursday: 9.00 a.m. - 5.30 p.m.
Friday & Saturday: 9.00 a.m. - 2.00 p.m.
Work Arrangement
- This role is a full-time position based at the Company's Head Office.
- The Accounts Executive is required to physically report to the office daily to perform finance and administrative functions.
