Job Description:
Financial Management:
Accounts Payable and Receivable: Manage payments to vendors, contractors, and service providers, as well as issuing invoices to owners / tenants for maintenance fees and other charges.
Bank Reconciliation:
Perform regular reconciliation of bank accounts to ensure accurate records.
Collection of Maintenance Fees: Track and collect maintenance contributions and sinking fund payments from owners.
Debt Recovery:
Follow up on overdue payments, issue reminders, and initiate legal actions if necessary.
Vendor Payments:
Ensure timely and accurate payment to Contractors, suppliers and service providers.
Budgeting and Financial Reporting:
Annual Budget Preparation: Assist in preparing and managing the annual budget for the MCST.
Financial Reporting: Prepare monthly and yearly financial statements, including income and expenditure reports.
Audit Preparation Coordinate with auditors for the annual audit and provide required documentation.
Cash Flow Management: Monitor cash flow to ensure sufficient funds are available for operational needs.
Fund Management:
Maintain and monitor sinking and management fund accounts.
Administrative and Regulatory Duties:
Compliance with BMSMA: Ensure financial practices comply with the Building Maintenance and Strata Management Act (BMSMA)
AGM and Council Meeting Support:
Prepare financial reports, budget forecasts and statements for submission during AGMs and Council Meetings.
Banking Matters:
Handle deposits, withdrawals, and bank correspondence for the MCST.
Record Keeping:
Ledger Maintenance: Update and maintain the General Ledger and subsidiary ledgers.
Invoice and Receipt Records: Ensure proper documentation and filing of all invoices and receipts.
Document Archival: Maintain financial records for regulatory and reference purposes.
Communication and Support:
Owner Liaison: Address inquiries from owners / tenants regarding account statements. Payment issues or outstanding dues.
Collaboration: Work closely with the Property and Admin team to ensure smooth coordination on financial matters related to property operations.
Any other tasks assigned by Management Council / Centre Manager as deemed necessary.
