Job Summary

As an Administrative Executive at Healthworkz Pte Ltd, you will drive operational excellence by managing order processing, inventory control, shipment coordination, and accounting support to enable seamless sales and supply chain functions.

Responsibilities

  • Prepare and update price quotations and product catalogues to support sales initiatives
  • Consolidate customer orders and issue Sales Orders to ensure accurate sales processing
  • Generate sales forecasts and reports to inform business planning and decision-making
  • Prepare Purchase Orders and track shipment status to maintain supply chain visibility
  • Coordinate incoming shipments with freight forwarders and arrange trucking for container deliveries
  • Verify regulatory requirements and prepare ingredient sticker labels to ensure product compliance
  • Provide administrative support to the Sales team by completing product listing forms and maintaining customer master stock cards
  • Monitor customer orders and fulfillment status to ensure timely delivery and customer satisfaction
  • Manage stock inventory by creating product codes, updating stock movements in the inventory system, and reconciling discrepancies
  • Support accounting functions including accounts receivable and payable by processing billings, posting vendor invoices accurately, updating payments, and maintaining official documentation
  • Execute ad hoc duties assigned by Management to support business operations

Preferred competencies and qualifications

  • Working knowledge of Inventory and Accounting software (e.g., AutoCount) to enhance operational efficiency
  • Proficiency in MS Office applications, especially MS Excel, to support data management and reporting
  • Diploma or equivalent qualification with 2-3 years of relevant working experience
