Job Responsibilities:
. Attend to main switchboard calls professionally, manage voicemail, and ensure closure messages are updated. Maintain and circulate updated staff telephone lists.
. Greet and guide visitors, notify relevant staff, arrange meeting rooms, refreshments, hotel accommodations, and transport where needed.
. Manage conference room bookings, ensure audio/visual and video conferencing equipment are set up, maintain cleanliness, replenish supplies, and arrange catering for events.
. Handle incoming and outgoing couriers and mail, reconcile invoices, and coordinate deliveries and postage.
. Order and manage pantry, fruits, and water supplies, process supplier invoices, and update supplier contact lists.
. Circulate staff absence information, manage leave applications, update PeopleSoft records, and arrange secretarial coverage as required.
. Circulate daily absence/visitor/emergency contact lists, manage reception coverage, assist with conferencing bookings, and support ad hoc duties from the Business Services Manager.
. Maintain security card records, arrange taxis for staff/guests, and ensure refreshments are stocked daily.
. Adhoc tasks and projects as assigned
Job Requirements
. Minimum Diploma in a related discipline
. Minimum 2 years of relevant experience
. Able to start immediately or within short notice
