Responsibilities
1. Workshop Operations Support:
- Assist in coordinating daily workshop activities to ensure smooth workflow.
- Monitor workshop loading and ensure jobs are assigned efficiently.
- Support the workshop team in maintaining organized and efficient repair processes.
- Ensure workshop documentation and records are properly maintained.
2. Work-in-Progress (WIP) Monitoring:
- Maintain and update the workshop WIP tracking system daily.
- Monitor WIP aging and highlight long-pending jobs to management.
- Ensure all jobs are properly documented and updated in the system.
- Coordinate with Service Advisors, technicians and Technical Specialist to follow up on pending repairs.
3. Service Job Coordination:
- Coordinate between technicians, Service Advisors, Technical Specialist and the Parts Department to ensure timely repair completion.
- Monitor and coordinate parts orders required for ongoing repair jobs.
- Follow up on parts order status with the Parts Department and suppliers to avoid delays in repair completion.
- Ensure all required parts are issued correctly to technicians.
- Inform Service Advisors of parts availability and expected delivery timelines.
4. Parts Monitoring & Coordination:
- Track all parts orders related to active WIPs and ensure timely availability of parts.
- Work closely with the Parts Department to ensure correct parts are ordered for repair jobs.
- Monitor backorder parts and follow up with suppliers or distributors.
- Update parts status in the WIP tracking system and inform relevant personnel of any delays.
- Assist in verifying parts received and ensuring they are correctly allocated to the respective WIPs.
5. Administrative & System Management:
- Create and manage Work Orders (WIP) in the system.
- Ensure repair details, labour entries, and parts usage are properly recorded.
- Assist in preparing service reports and workshop performance tracking.
- Maintain proper filing of repair documentation and service records.
6. Customer Service Support:
- Assist Service Advisors with follow-ups on repair status and service progress.
- Provide updates on repair timelines where required.
- Ensure all completed jobs are properly documented before vehicle release.
7. Quality & Compliance:
- Ensure workshop procedures comply with company standards and manufacturer guidelines.
- Assist in tracking service campaigns, recalls, and warranty-related repairs.
- Support quality control processes before motorcycle delivery.Plan, supervise and manage daily workshop operations to ensure efficiency, adherence to schedules, and maximum productivity.
- Monitor job progress, and coordinate with diagnosis technicians, technicians, and team leaders, to address delays to meet deadlines.
- Optimize manpower allocation and scheduling for effective task completion, Lead, train, and support technicians to maintain high performance and service quality.
- Oversee maintenance and servicing of machinery, equipment, and tools to ensure optimal condition and proper usage, including coordinating with related departments to ensure the availability of necessary parts and tools.
- Maintain accurate records of workshop activities, including job sheets, inventories, and work orders.
- Ensure compliance with health and safety regulations through regular inspections and workplace organization.
- Conduct audits to assess performance, identify improvements, and enhance workflow using management software and technology, including troubleshooting and resolving issues independently and collaboratively.
- Maintain high customer satisfaction by delivering quality service, managing expectations, and resolving complaints including reporting of workshop performance metrics, such as job completion rates and productivity to management.
- Handle any additional tasks as assigned to support operations.
Requirements
- Minimum Diploma with 3 years of relevant experience in managing workshop operations
- Good planning and organisation skills
- Process-driven, highly motivated and results-oriented
- Possess a valid Class 2 driver's licence
