Position Summary
The Guest Ambassador / Receptionist is the first point of contact for all visitors and plays a key role in shaping the workplace experience at the Client's offices in Singapore. In addition to managing front-desk operations, this role supports the Workplace Manager and Workplace Coordinator with event logistics, vendor coordination, basic administrative tasks, and communication with the landlord. The ideal candidate will be service-minded, well-organized, communicative, and proactive in supporting a dynamic and high-performance workplace environment.
Reception & Front Desk Operations
- Greet all visitors, employees, and contractors with professionalism and warmth.
- Manage visitor access and ensure all guests are properly registered and escorted as per Client policies.
- Answer incoming calls and redirect them appropriately.
- Maintain the reception area and lobby to high visual and cleanliness standards.
- Coordinate courier dispatch, deliveries, and mail handling.
Workplace & Event Support
- Assist the Workplace Manager and Coordinator with the preparation and setup of on-site events, town halls, celebrations, and engagement activities.
- Help coordinate logistics with internal teams and external vendors (e.g., catering, setup).
- Distribute event communications and manage RSVPs if needed.
Landlord Liaison Support
- Log and escalate facility-related issues to the landlord (e.g., air-conditioning, lifts, restrooms) as instructed by the Workplace Manager or Coordinator.
- Track open issues and follow up until resolution.
- Maintain communication logs or ticket records for issues escalated.
Administrative & Vendor Support
- Support basic administrative tasks such as preparing and sending purchase orders (POs) to vendors.
- Assist in maintaining contact lists, office supply tracking, and invoice follow-ups.
- Help update trackers, spreadsheets, or records when required.
Customer Service & Communication
- Provide helpful information and assistance to employees and guests regarding the office layout, amenities, and services.
- Share workplace updates and event information through digital signage or Slack posts when required.
- Maintain a friendly, calm, and service-focused attitude at all times.
